Xero Alternatives 2026 for Multi-Entity and US Finance Teams
Eight ledgers and ERPs for a company moving off Xero because of entities, US reporting needs or team size, with US list prices and two annual cost scenarios built from vendor pages in October 2026.
Sage Intacct is the strongest Xero alternative in 2026 for a finance team running several entities, and NetSuite is the pick when inventory and orders must sit in the same system; both sell by quote. Business Central Essentials, $80 per user monthly on a yearly commitment, is the ERP whose price you can see up front, and QuickBooks Online Advanced at $340 a month for 25 users is the US-centric step up that avoids an ERP project. Xero Established, the plan most teams outgrow, sits at $97 a month. All figures come from vendor pricing pages checked October 21, 2026.

- 8 tools compared: Sage Intacct, NetSuite, Microsoft Dynamics 365 Business Central, QuickBooks Online Advanced, Odoo, Zoho Books, Puzzle, Digits
- NetSuite (best for: Companies leaving Xero because inventory, orders and several subsidiaries must run in one ERP): Quote only; annual license for core platform, modules and users, plus a one-time implementation fee
- Microsoft Dynamics 365 Business Central (best for: Teams that want ERP scope with a per-user price they can budget before talking to sales): From $80 per user a month (Essentials, yearly commitment); Team Members seats $8
- QuickBooks Online Advanced (best for: US finance teams that want deeper reporting and the ledger most US accountants know, without an ERP): $340/mo for up to 25 users plus 3 accountants; 30-day free trial
Teams rarely leave Xero because the bookkeeping fails. They leave because the company stopped being one small business: a second or third legal entity that needs consolidating, a board asking for numbers by department, a US controller who wants the ledger most American accountants already know, or inventory that should post with the close. Xero prices its US plans per organization with no consolidation tier, and the right replacement depends on which of those walls you hit first.
CFOpresso data: our sister directory Toolradar follows 280 accounting tools as of October 20, 2026, and Xero is listed as an alternative to 80 of them, third after Odoo and QuickBooks. It was also the third most compared accounting tool on Toolradar's accounting ranking in the 90 days to October 2026, with 393 side-by-side comparisons. Buyers cross-shop Xero constantly, so a shortlist built around the reason you are leaving beats a generic top ten.
Ranking method: the eight picks are ordered by how directly they remove the walls that send a growing team off Xero. Entity consolidation weighs most, US reporting depth and dimensions come next, and cost per seat after that, with a public price settling close calls. Sources were vendor pricing and product pages checked October 21, 2026, and nothing was tested hands-on. Still undecided about moving? Our full Xero review sets out what it still does well.

Sage Intacct
The finance-first replacement for a multi-entity team, built around consolidation and dimensions rather than operations.
- Pricing
- No list price; Sage quotes each buyer from the modules chosen
Best for: Finance teams leaving Xero because they run several entities and need consolidated, audit-ready reporting
Pros
- Sage's product page says it rolls up hundreds of entities across currencies and geographies in minutes.
- Sage calls it the only AICPA-preferred finance solution, a signal auditors recognize.
- More than 350 integrations connect payroll, billing and spend software to the ledger.
Cons
- No list price: the pricing page asks every buyer to request a quote built from modules.
- Sage positions it for organizations of typically 20+ employees, so a five-person company pays for scope it will not use.
NetSuite
The full ERP route, with OneWorld for multi-subsidiary consolidation and operations in the same database.
- Pricing
- Quote only; annual license for core platform, modules and users, plus a one-time implementation fee
Best for: Companies leaving Xero because inventory, orders and several subsidiaries must run in one ERP
Pros
- OneWorld manages multiple subsidiaries and legal entities with real-time consolidation, per NetSuite's product page.
- Supports 190 currencies and 27 languages for groups with foreign entities.
- Modules and users can be added to the license as the company grows.
Cons
- The bill has three license components plus a one-time implementation fee, and none is published.
- An ERP project is a heavy jump from Xero's flat monthly fee if consolidation is the only problem.
Microsoft Dynamics 365 Business Central
Microsoft's mid-market ERP, the only one here with a public per-user rate and Copilot bundled in.
- Pricing
- From $80 per user a month (Essentials, yearly commitment); Team Members seats $8
Best for: Teams that want ERP scope with a per-user price they can budget before talking to sales
Pros
- One Essentials seat spans the ledger, sales and operations, and Microsoft bundles Copilot into it.
- Approvers and occasional users can sit on Team Members seats, which read data and approve workflows at a tenth of the Essentials rate.
- A 30-day free trial is listed on the pricing page.
Cons
- Every user is priced, so a team used to Xero's no-seat-fee model sees the bill scale with headcount.
- The Sales Order Agent and Payables Agent need Copilot Credits, sold separately.
QuickBooks Online Advanced
The US-centric step up, with unlimited classes and locations and 25 users on one subscription.
- Pricing
- $340/mo for up to 25 users plus 3 accountants; 30-day free trial
Best for: US finance teams that want deeper reporting and the ledger most US accountants know, without an ERP
Pros
- Tracks unlimited classes and locations, against 40 on the Plus plan.
- 12 custom fields, custom user roles and automated workflows with reminders.
- Intuit offers Intuit Enterprise Suite as a separate multi-entity route if the group grows further.
Cons
- Capped at 25 users, where Xero has no per-user fee at all.
- Costs $243 a month more than Xero Established at list price, our arithmetic.
Odoo
An all-apps ERP with a printed per-user price, where multi-company needs the Custom plan.
- Pricing
- From $31.10 per user a month on Standard, yearly; multi-company on Custom at $61
Best for: Operations-heavy companies that want accounting, inventory and CRM in one modular suite at a printed price
Pros
- Standard includes all apps on Odoo Online, and One App Free gives unlimited users on a single app.
- Custom adds multi-company, Odoo Studio, the external API and on-premise or Odoo.sh hosting.
- A first-year discount brings Standard to $24.90 per user for initial users, a 12-month offer.
Cons
- Multi-entity groups need Custom, roughly double the Standard rate per user.
- Implementation services are not included; small companies buy Odoo Success Packs.
Zoho Books
The cheapest like-for-like move off Xero, priced per organization with a user allowance on each plan.
- Pricing
- Free plan for one user; Premium $60 per organization a month on annual billing
Best for: Cost-conscious teams that want approvals, budgets and inventory without paying ERP prices
Pros
- Premium includes 10 users, budgets, fixed assets, basic revenue recognition and a vendor portal.
- Extra users cost $2.50 a month each on annual billing.
- Several businesses can run as separate organizations under one Zoho Books account.
Cons
- Each organization is priced on its own, so three entities mean three subscriptions.
- Advanced revenue recognition and warehouse tracking start on Elite at $120 a month billed yearly.
Puzzle
An AI-native ledger for startups, with unlimited seats and revenue recognition on its Complete plan.
- Pricing
- Starter $30/mo; Core $72/mo; Complete $120/mo with unlimited seats; yearly saves 20%
Best for: Startups replacing Xero with an AI-run ledger that tracks burn, runway and revenue
Pros
- Complete adds AI reconciliations, classes, departments and projects, and revenue recognition.
- Core adds burn, runway and margin insights plus variance analysis for 5 seats.
- Puzzle offers a refund if the second month-end close is not at least 50% faster, under its eligibility rules.
Cons
- Multi-entity runs through an integration rather than native consolidation.
- The close-time guarantee covers single-entity accounting structures only.
Digits
An AI-native ledger priced per business, with dimensional accounting from its Core plan.
- Pricing
- From $65 a month (Essentials); Core $100 a month per business; no seat fees; US only
Best for: US startups that want AI bookkeeping with department and location tracking at a flat price
Pros
- Billing follows the business rather than headcount, so adding a colleague costs nothing.
- The Core plan tracks departments and locations and detects recurring schedules automatically.
- All plans expose a developer API and an MCP server, after a 30-day trial.
Cons
- A group pays once per business or location, so three entities triple the bill.
- Budget vs. actuals sits on Pro, still marked coming soon in October 2026.
What it is
A Xero alternative, for a growing finance team, is a ledger that keeps what Xero does well (bank feeds, invoicing, bills, real-time reports) and adds what Xero's plans stop short of. Three groups make this list. Finance-first systems (Sage Intacct, Puzzle, Digits) add consolidation, dimensions or automated close work. ERPs (NetSuite, Business Central, Odoo) put inventory, orders and projects next to the general ledger. US small-business ledgers (QuickBooks Online Advanced, Zoho Books) keep the price low but change the user limits, reporting and accountant ecosystem.
Why it matters
Xero's top US plan is light on the controls a growing finance team asks for. On Xero's US pricing page, Early is $27 a month with a cap of 20 invoices and 5 bills, Growing is $59, and Established is $97 with multi-currency, project tracking, expense claims and a 180-day cash flow forecast, all read on October 21, 2026. Every plan carries no per-user license fee, which is Xero's best argument for staying. What none of the plans lists is consolidation across entities, the feature multi-entity teams most often switch for.
That changes the cost question. Staying on Xero with three entities means three separate organizations and a consolidation done outside the ledger, usually in spreadsheets. Moving to Sage Intacct or NetSuite solves consolidation inside one system but swaps Xero's printed monthly fee for a quote and an implementation project. Business Central and Odoo sit between the two, with printed per-user prices, while QuickBooks Online Advanced, Zoho Books, Puzzle and Digits stay in the low thousands a year. When US depth is the issue, our head-to-head of Xero and QuickBooks Online goes further; when entities are, see our ranking of accounting software for multi-entity businesses.
Plan the exit around a period end. Pull the chart of accounts, tracking categories, open receivables and payables, the fixed asset register and two or more years of trial balances out of Xero, map tracking categories to the new system's dimensions or classes, then run both ledgers through one month-end close and tie out the trial balance before you cancel.
Key features to look for
Pricing
Xero Established is the baseline every alternative replaces. Intuit, Microsoft, Odoo, Zoho, Puzzle and Digits print US prices. Sage Intacct builds a quote from the modules you license, and NetSuite sells an annual license of platform, modules and users plus a one-time implementation fee.
Scenario 1, one entity and 20 users, one year, license only: Xero Established $1,164, Zoho Books Premium $1,020 with 10 add-on users, Digits Core $1,200, Puzzle Complete $1,440, QuickBooks Online Advanced $4,080, Business Central $6,240 with 5 Essentials users and 15 Team Members, and Odoo Standard $7,464. That is our arithmetic on list prices read October 21, 2026; Zoho, Business Central and Odoo use yearly billing, the others the printed monthly price times 12.
Scenario 2, three entities and the same 20 users: three Xero organizations on Established come to $3,492 a year, three Digits Core subscriptions to $3,600, and Odoo Custom, the plan with multi-company, to $14,640, again our arithmetic. Neither of the first two consolidates inside the ledger. Sage Intacct and NetSuite do, at a quoted price, so ask both for a three-year total with implementation and set it against these figures.
Xero, Intuit and Odoo all ran introductory discounts in October 2026. The scenarios use regular list prices, because the renewal is the price you keep paying.
| Plan | Price | Best for |
|---|---|---|
| Xero Established (the plan you are leaving) | $97/mo | Foreign currency, project costing, staff expense claims and a 180-day forecast, with no seat fees |
| Sage Intacct | Custom | Quote built from modules; multi-entity consolidation and dimensional reporting |
| NetSuite | Custom | Annual license of core platform, modules and users, plus a one-time implementation fee |
| Business Central Essentials | $80 per user a month, yearly | Full ERP seat across ledger, sales and operations, Copilot bundled |
| Business Central Team Members | $8 per user a month, yearly | Light seat to view records, approve and edit selected data |
| QuickBooks Online Advanced | $340 a month | 25 users and 3 accountants, unlimited classes and locations, 12 custom fields |
| Odoo Standard | $31.10 per user a month yearly, $38.90 monthly | Every Odoo app, cloud-hosted, one company only |
| Odoo Custom | $61 per user a month yearly, $76.20 monthly | Several companies in one database, Studio, API access, self or Odoo.sh hosting |
| Zoho Books Premium | $60/org/mo, billed yearly ($70 monthly) | 10 users, budgets, fixed assets, basic revenue recognition, vendor portal |
| Zoho Books Elite | $120/org/mo, billed yearly ($150 monthly) | Advanced revenue recognition, warehouses, serial and batch tracking |
| Puzzle Complete | $120/mo | Unlimited seats, AI reconciliations, classes, departments and projects, revenue recognition |
| Digits Core | $100/mo per business | AI bookkeeping, dimensional accounting by department and location, automated schedules |
The bottom line
Leaving Xero because of consolidation and dimensional reporting points to Sage Intacct; leaving because operations need the same database points to NetSuite. For ERP breadth with a public seat price, weigh Business Central against Odoo, and for a US team that wants richer reporting without a project, QuickBooks Online Advanced is the smallest jump. When budget decides, Zoho Books, Puzzle and Digits add approvals, dimensions or AI bookkeeping for about what Xero costs now.
