Xero vs QuickBooks Online 2026: Price per User Compared

Xero vs QuickBooks Online in 2026 for finance teams: Xero has no per-user fee, QuickBooks caps users per plan. Cost per posting user at 1, 5, 6, 10 and 25 seats.

Xero vs QuickBooks Online 2026: Price per User Compared

Xero wins on price the moment six people need to post, and QuickBooks Online wins on features for a product company that fits a plan cap. Xero Growing is $59/mo with unlimited users; QuickBooks Plus is $140/mo for five billable users and the sixth forces Advanced at $340/mo. Both sets of prices were read on the vendors' US pricing pages in October 2026.

The rest of this page turns those plans into a cost per posting user, because that is the number a controller is asked for. Our QuickBooks Online pricing explainer and the accounting software ranking cover each plan on its own.

Toolradar data: Toolradar, the software directory we run, evaluated 279 accounting tools for its accounting software ranking as of October 2026. The directory pages for the two ledgers are Xero and QuickBooks.

Both products are single-entity cloud ledgers: bank feeds, invoices, bills, reporting and a payroll add-on, with no consolidation across companies. The difference a CFO cares about is the pricing unit. Xero prices the organization and lets in as many users as you like. Intuit prices a plan with a fixed number of billable users and sells no extra seat, so headcount growth is plan growth. Our Xero review and QuickBooks Online review cover each product on its own; this page is the head-to-head.

The cost per posting user, computed

Xero's price per user falls with every hire; QuickBooks' price per user jumps at each cap. The table divides the monthly list price by the number of people who post, assuming a company with vendors and customers, which puts Xero on Growing until a second currency or project costing moves it to Established, and QuickBooks on the smallest plan whose cap fits.

People who post Xero plan and price Xero per user QuickBooks plan and price QuickBooks per user
1 Growing, $59/mo $59.00 Simple Start, $38/mo $38.00
3 Growing $19.67 Essentials, $85/mo $28.33
5 Growing $11.80 Plus, $140/mo $28.00
6 Growing $9.83 Advanced, $340/mo $56.67
10 Established, $97/mo $9.70 Advanced $34.00
25 Established $3.88 Advanced $13.60

QuickBooks is cheaper for exactly one person. Simple Start undercuts Xero Growing by $21 a month, and Xero Early is cheaper still only if the company sends fewer than 20 invoices and pays fewer than 5 bills a month, a limit a one-person consultancy might live inside and a trading company will not.

From three users on, Xero costs less per head, and at six the gap becomes a budget line. The sixth billable user is the expensive one on QuickBooks: Plus has no sixth seat, so the plan moves to Advanced and the monthly bill rises by $200. Over a year that is $4,080 on Advanced against $1,164 on Xero Established, a difference of $2,916 for the same ten-person team, before payroll and payment fees.

Reports-only and accountant users soften the QuickBooks cap, but do not remove it. Plus and Advanced allow unlimited reports-only users and every paid plan allows unlimited time-tracking-only users; two accountant-firm logins (three on Advanced) sit outside the count too. A controller who only reads the close and an outside CPA do not take seats. Anyone who codes a transaction does, and that is who the table counts.

Where QuickBooks earns its price

Inventory and project profitability sit on QuickBooks Plus and nowhere on Xero's base plans. Plus bundles stock tracking with cost of goods and low-stock alerts, project profitability with job costing, and class and location tracking up to 40 combined. Xero puts project time and cost tracking on Established and sells Inventory Plus as an optional add-on, so a product company with five users pays less on QuickBooks for the feature set it actually uses.

Advanced is a controls plan, not only a bigger user cap. Since August 1, 2026 it includes Bill Pay Elite approval workflows and 1099 e-filing, unlimited classes, locations and accounts, 12 custom fields per transaction, custom user permissions, batch invoicing and priority support. A company that needs approvals on vendor bills inside the ledger gets them on Advanced; on Xero it buys a separate AP tool, which our AP automation ranking prices.

The accountant network is a real cost line. QuickBooks has the largest US pool of bookkeepers and outsourced accountants, which lowers the price of a monthly close done by a firm. Our how much bookkeeping costs for startups explainer gives the ranges; the short version is that a firm that already works in QuickBooks rarely quotes the same rate for a Xero file.

Payroll bundles are deeper on QuickBooks. Intuit sells Workforce Payroll bundled with accounting: Payroll plus Simple Start is $88/mo plus $6.50 per employee, Payroll plus Essentials is $125/mo plus $6.50, and Workforce Premium plus Plus is $203/mo plus $10 per employee, with full-service tax filing, auto payroll and 1099 e-file on every bundle. Xero's answer is a Gusto-powered add-on at $36/mo plus $6 per employee or contractor in all 50 states, cheaper per head but a separate product with its own login.

Where Xero earns its price

Unlimited users is the feature, and it changes how a finance team is staffed. On Xero a sales rep can raise quotes, an office manager can code receipts and a project lead can enter bills without a conversation about seats. On QuickBooks each of those people is a billable user until the plan cap says otherwise, so companies ration logins and funnel work through the controller.

Standard ACH bill payments are free on every Xero plan, and Xero charges no bill pay subscription above it. Xero's pay-bills page states that free standard ACH bill payments are included in all three business plans, with fees for other payment methods. QuickBooks also makes standard ACH free, but sells the controls on top: Bill Pay Premium is $15/mo for 1099 e-filing and Bill Pay Elite is $45/mo for approval workflows and payment release controls, unless the company is already on Advanced.

Multi-currency is explicit on Xero. Established supports 160+ currencies with hourly exchange rates, and Xero states the plan it lives on. Intuit's pricing page does not list multicurrency as a plan feature, so a company with foreign customers should confirm the plan with Intuit before buying, rather than assume the mid tier has it.

The promo is bigger on Xero, and both end at list price. Xero's 80% off prices the plans at $5.40, $11.80 and $19.40 a month for three months; Intuit's 50% off halves its four plans for the same period or offers a 30-day trial instead. Neither discount touches payroll or add-ons, so budget the renewal rate from month four.

Fees outside the plan: payments and bill pay

Card receipts cost about the same on both. Xero runs online invoice payments through Stripe at 2.9% plus 30 cents for domestic cards, 4.4% plus 30 cents for international cards and 1% more for currency conversion, with ACH debit at 1% capped at $9. QuickBooks Payments charges 2.99% for online cards and wallets, 3.5% for keyed-in cards, 2.5% in person and 1% with a $1 minimum for ACH, rates Intuit dated September 18, 2026. A company collecting $100,000 a month by card pays within a few dollars of the same fee on either ledger; the ACH cap is where Xero's Stripe route is cheaper on large invoices.

Bill pay is where the fee tables diverge, on speed and approvals rather than on standard ACH. QuickBooks lists standard ACH as free on every tier, $1.50 per mailed check, $10 per faster ACH and 1% (minimum $10, maximum $100) for an instant payment, with Bill Pay Elite included on Advanced since August 1, 2026 and $45/mo on the lower plans. Xero includes standard ACH at no charge and says fees apply for other methods without listing them on its pay-bills page, so an AP team that pays by check or needs same-day settlement should ask Xero for the fee schedule before budgeting. Our BILL pricing explainer prices the third option, a dedicated AP tool on top of either ledger.

A second entity is a second file on both

Neither product consolidates. A holding company with three subsidiaries runs three Xero organizations or three QuickBooks subscriptions, and eliminates intercompany balances in a spreadsheet or a consolidation tool. At three entities on Xero Established that is $291/mo; on QuickBooks Plus it is $420/mo, and on Advanced $1,020/mo. The moment the group close takes more than a day, the comparison stops being Xero vs QuickBooks and becomes a mid-market ledger; our QuickBooks vs NetSuite comparison and the multi-entity accounting ranking take over there, and the consolidation tools ranking covers the tool that sits on top of several small ledgers.

Who should pick which

Pick Xero when the posting team is six or more, the entity count is one, and inventory is not on the cheapest plan's job list. A services company, an agency or a software startup with ten people touching the books pays a quarter of the QuickBooks price for the same ledger, and gets explicit multi-currency on Established.

Pick QuickBooks Online when you sell products, track job margins, and the people who post fit inside Plus. Five users, inventory, projects and 40 classes for one organization price is a better bundle than Xero Growing plus Inventory Plus, and the outside accountant probably already works in it.

Pick QuickBooks Advanced only when the controls pay for the seats. If Bill Pay Elite approvals, custom permissions and unlimited classes replace a separate AP tool, the plan earns its price. If the only reason is a sixth user, Xero is cheaper by a wide margin and the move costs one parallel close.

How we compared

We read the US pricing pages of Xero and Intuit, Intuit's usage limits article, both vendors' payroll pricing pages and both fee schedules in October 2026. The per-user figures are our division of monthly list prices by the number of people who post, on the plan each company would realistically buy. Both vendors run new-customer promotions that this page ignores, because a finance team budgets the renewal rate. Louis Corneloup, founder of Toolradar and Dupple, edited the piece. Xero runs a referral program; this page links to the vendors' public pricing pages only.

FAQ

Is Xero or QuickBooks Online cheaper in 2026?

For one user QuickBooks Simple Start at $38/mo is cheaper than Xero Growing. For three or more users Xero costs less per head, and at six users the gap is $340/mo for QuickBooks Advanced against Xero's unchanged Growing price. Prices were read on the vendors' US pricing pages in October 2026.

Does QuickBooks Online charge per user?

No, it charges per plan with a fixed cap: 1 billable user on Simple Start, 3 on Essentials, 5 on Plus and 25 on Advanced, and no extra seat is sold. Accountant-firm users, reports-only users on the two upper plans and time-tracking-only users do not count toward the cap.

Does Xero really have unlimited users?

Yes. Xero's US pricing page lists no per-user license fees on Early, Growing or Established, and the accountant works in the organization at no seat cost. The limits that do apply are on volume: Early allows 20 invoices and 5 bills a month, and multi-currency and projects sit on Established.

Which is better for a company with inventory?

QuickBooks Online Plus, at $140/mo for five users, bundles inventory with cost of goods, project profitability and class tracking. Xero sells Inventory Plus as an optional add-on and puts project tracking on Established, so a product company with a small posting team usually pays less on QuickBooks for the features it uses.

Which is better for multi-currency?

Xero states that multi-currency lives on Established, with 160+ currencies and hourly rates. Intuit's pricing page does not list multicurrency as a plan feature, so confirm with Intuit which QuickBooks Online plan includes it before you buy for foreign customers.

Can either product consolidate several companies?

No. Each legal entity is a separate Xero organization or QuickBooks subscription, and neither product eliminates intercompany balances. Three entities on Xero Established cost $291/mo and three on QuickBooks Plus cost $420/mo, with the consolidation done in a spreadsheet or a separate tool.

How hard is it to switch from QuickBooks Online to Xero?

Plan one parallel month-end close. Export the chart of accounts, open invoices and bills, customer and vendor lists and at least two years of trial balances, load them into Xero, reconcile the first month in both ledgers, then cancel the Intuit subscription. Xero's 80% off for three months covers most of that overlap period.
