TL;DR

Xero is worth it in 2026 for a single-entity company whose posting team keeps growing. The US plans list at $27 a month for Early, $59 for Growing and $97 for Established, read on Xero's pricing page in October 2026, and none of them charges per user. A ten-person finance and ops team pays the same organization price as a two-person team, which is the whole case against a user-capped ledger.

The catches are plan-shaped. Early stops at 20 invoices and 5 bills a month, so a trading company starts on Growing. Multi-currency, projects and employee expense claims sit on Established only. Payroll is a $36 a month add-on plus $6 per employee, and online card payments carry Stripe's 2.9% plus 30 cents.

Skip Xero when the group has subsidiaries to consolidate, or when inventory and job costing must live on the cheapest plan; our QuickBooks Online review and accounting software ranking cover those cases.

  • Best for: Single-entity companies whose posting team outgrows a user-capped ledger
  • Price as of October 26, 2026: Early $27/mo, Growing $59/mo, Established $97/mo per organization; 80% off for 3 months; no per-user fee
  • The US cloud ledger that charges the organization, not the seat, with multi-currency and projects reserved for its top plan.
  • Vendor: Xero Limited
  • Per-user fee: None on any plan
  • Free trial: No trial; 80% off for 3 months instead
  • Alternatives covered: QuickBooks Online, Zoho Books, FreshBooks, Wave

Pros

  • No per-user fee on Early, Growing or Established, so a 10-person team pays the same as a 2-person team
  • Growing includes unlimited invoices and bills, auto-reconcile, budgets and free standard ACH bill payments
  • Established adds 160+ currencies with hourly rates, project tracking and a 180-day cash flow forecast

Cons

  • Early's 20-invoice and 5-bill monthly caps push most trading companies straight to Growing
  • Payroll, Inventory Plus and card fees all sit outside the plan price, so the sticker is never the invoice
  • No consolidation across organizations, so a group with subsidiaries closes intercompany elsewhere

Buy Growing when the company pays vendors and sends more than 20 invoices a month, and buy Established the day a second currency or a project margin report appears. Do not buy Early for anything beyond a one-person consultancy, because the invoice cap arrives before the price difference matters.

Toolradar data: Toolradar, the software directory we run, evaluated 279 accounting tools for its accounting software ranking as of October 2026. Xero's directory page is Xero, and the competitors on this page are QuickBooks, Zoho Books, FreshBooks and Wave.

How we reviewed (methodology): we read Xero's US pricing, payroll, multi-currency, bill payment and Stripe fee pages in October 2026, and the US pricing pages of the four alternatives in the same month. We ran no hands-on tests. Xero runs a referral program and some links on this page are referral links; that does not change the verdict or the prices.

What is Xero?

Xero is a cloud general ledger for a single legal entity: bank feeds, invoicing, bills, fixed assets, reporting and a payroll add-on, sold as one monthly organization subscription rather than per seat. Xero says it serves 5 million customers in 180+ countries, and the US edition is the one priced on this page.

It is not a consolidation engine and not an ERP. A group with three subsidiaries runs three Xero organizations and consolidates elsewhere, and a company with a warehouse buys Inventory Plus as an optional add-on rather than finding stock control in the base plan.

How Xero works

A new organization starts with a chart of accounts, a bank connection and an invitation to the accountant, who works in the same file at no seat cost. Transactions flow in daily from the bank, and JAX, Xero's assistant, reconciles by rule, by match to an existing record, by memory of how you coded similar lines, or by prediction from how other Xero users coded them.

Invoices carry a Pay Now button for card, ACH and digital wallets through Stripe, and bills are paid from inside Xero, with standard domestic ACH free on every business plan and faster methods priced per payment. Cash flow forecasting stretches from 30 days on Early to 180 days on Established, and the budget tools and performance dashboards start on Growing.

The close is a one-entity close. Tracking categories stand in for departments, projects live on Established, and the board pack still comes from a reporting or FP&A tool, which our board reporting ranking covers.

Xero key features

No per-user fee on any planEssential
Xero prices the organization, not the seat, so a growing posting team never forces an upgrade. That is the feature a controller compares against QuickBooks Online, where the sixth billable user on Plus means Advanced at $200 more a month.
Early's caps decide the real entry priceEssential
Early allows quotes and 20 invoices plus 5 bills a month, with a 30-day forecast, and auto-reconcile costs $5 a month extra on that plan. A company with vendors and customers effectively starts on Growing, which has unlimited invoices and bills.
Established is where finance features live
Multiple currencies (160+ supported, hourly rates), project time and cost tracking, employee expense and mileage claims, a 180-day cash flow forecast and industry benchmarking all sit on Established. A single-currency service company can stay on Growing.
Bank reconciliation with JAX
Auto-reconcile uses four methods: bank rules, matches to existing records, memory of your past coding and predictions from other users' coding, with cash coding to reconcile grouped transactions such as daily sales in one pass.
Payroll powered by Gusto
Xero Payroll is a Gusto-powered add-on with a monthly base fee plus a per-employee or per-contractor charge, across all 50 states. It attaches to every plan, so the payroll line is identical whether you run Early or Established.
Bill pay and payments are usage-priced
Standard domestic ACH bill payments are free; a mailed check is $1.50, same-day ACH 1% capped at $75, an overnight check $50. Card receipts through Stripe cost 2.9% plus 30 cents domestic and 4.4% plus 30 cents international.

Xero pricing

Xero's US pricing page, read in October 2026, lists three business plans billed monthly per organization: Early, Growing and Established.

New US customers buying their first organization get 80% off for the first three months, which prices the plans at $5.40, $11.80 and $19.40 a month before the regular rate applies, and the page lists no free trial.

A full list-price year on Growing is $708, and on Established $1,164, for any number of users. Add payroll for 12 employees and Established becomes $97 plus $36 plus $72, or $205 a month, $2,460 a year at list.

Add-ons are where the invoice grows. Xero Payroll is $36 a month plus $6 per employee or contractor. Inventory Plus is optional on the two upper plans and auto-reconcile is $5 a month on Early.

Stripe fees through Xero are 2.9% plus 30 cents for domestic cards, 4.4% plus 30 cents for international cards plus 1% for conversion, and 1% capped at $9 for ACH debit.

Bill payment fees start at free for standard ACH and rise to $50 for an overnight check.

Try Xero on the plan that matches your invoice volume.

Xero pros and cons

What we like

  • No per-user fee on Early, Growing or Established, so a 10-person team pays the same as a 2-person team
  • Growing includes unlimited invoices and bills, auto-reconcile, budgets and free standard ACH bill payments
  • Established adds 160+ currencies with hourly rates, project tracking and a 180-day cash flow forecast

What could be better

  • Early's 20-invoice and 5-bill monthly caps push most trading companies straight to Growing
  • Payroll, Inventory Plus and card fees all sit outside the plan price, so the sticker is never the invoice
  • No consolidation across organizations, so a group with subsidiaries closes intercompany elsewhere

Who Xero is for

Xero fits a US company with one legal entity, a posting team larger than a QuickBooks plan cap, and an accountant willing to work in it. Growing is the honest default for a service business in one currency; Established is the default once customers pay in euros or pounds, or once project margins go to the board.

Skip it when the close is a consolidation. Three subsidiaries are three organizations with no intercompany eliminations, and that is the point to read our multi-entity accounting ranking rather than add a fourth Xero file. Skip it too when inventory or job costing has to sit on the cheapest plan, because QuickBooks Plus bundles both and Xero sells Inventory Plus as an add-on.

A freelancer with five clients pays less on FreshBooks Lite or runs Wave Starter free, and a startup that wants burn and runway reporting in the ledger should also price Puzzle. For the head-to-head most finance leads actually run, read Xero vs QuickBooks Online.

The bottom line

Xero earns the subscription when one entity, many users and a few currencies describe the company. Price Growing for a service business and Established for anything with projects or foreign customers, and treat payroll and card fees as separate lines, because the plan price never includes them.

Choose QuickBooks Online when inventory and job costing must sit on a mid plan or the accountant refuses to move. Choose Zoho Books when the annual budget is the constraint and the US integration gap is acceptable. Choose FreshBooks for client billing and Wave when free beats features.

Leave Xero when the close becomes a consolidation; that conversation starts with our NetSuite review and Sage Intacct review, not with a fourth organization. The rest of the stack is in AI for accounting.

Frequently asked questions

How much does Xero cost in the US in 2026?

Early is $27 a month, Growing $59 and Established $97, billed monthly per organization and read on Xero's US pricing page in October 2026. New US customers get 80% off for the first three months. Payroll is a separate monthly add-on with a per-employee charge, and there is no per-user fee on any plan.

Does Xero charge per user?

No. Every US plan includes unlimited users at the organization price, and the accountant works in the file at no seat cost. That is the main economic difference from QuickBooks Online, where Plus caps billable users at five and the next plan is Advanced at $340 a month.

Is Xero better than QuickBooks Online?

Xero wins when the posting team grows past a QuickBooks plan cap or when several people need access for one price. QuickBooks wins when inventory and project profitability must sit on a mid plan, or when the outside accountant only works in QuickBooks. Both are single-entity ledgers with no consolidation.

Which Xero plan has multi-currency?

Established only. It supports 160+ currencies with hourly exchange rates and adds project tracking, employee expense claims and a 180-day cash flow forecast. Growing is single-currency with unlimited invoices and bills, and Early caps invoices at 20 and bills at 5 a month.

Does Xero have a free trial?

Xero's US pricing page offers 80% off the plan for the first three months to new customers buying their first organization, rather than a free trial. QuickBooks Online, by contrast, lets a new customer choose between a 30-day trial and 50% off for three months.

What are Xero's payment and bill pay fees?

Card payments on invoices run through Stripe at 2.9% plus 30 cents for domestic cards and 4.4% plus 30 cents for international cards, with 1% more for currency conversion. Standard domestic ACH bill payments are free on every plan; a mailed check is $1.50, same-day ACH is 1% capped at $75, and an overnight check is $50, all read on Xero's fee pages in October 2026.
