Dynamics 365 Business Central Review 2026
Essentials, Premium, and Team Members license math for a 5-user and a 20-user year, and when NetSuite, Sage Intacct, Acumatica, or Odoo fits the close better.
Dynamics 365 Business Central is worth it in 2026 when finance and inventory should live in one database inside Microsoft, and the board wants a license number before the partner call. Essentials is $80 per user per month, paid yearly. Premium is the step up that turns on manufacturing and service orders for a whole company, not a small add-on for one planner.
Microsoft sells the license only through partners, and as of September 2026 the reseller sets the price, so the website figure is a board number and the invoice can differ. A Team Members user cannot post journals for someone else, so anyone who journals needs a full seat. If the warehouse is out of scope, start with the Sage Intacct review instead of pricing an operational ERP.
Key factsBest for: Microsoft-stack companies that want a published per-user…
- Mid-market ERP with a published yearly seat price and a separate manufacturing tier.
- Vendor: Microsoft
- Billing: Paid yearly
- Trial: 30 days, free
- Companies: 300 maximum in one environment
Pros
- Essentials includes finance, inventory, warehouse, projects, consolidation, and intercompany postings, with unlimited dimensions.
- A tenant can add up to 3 External Accountant licenses, and eligible Microsoft 365 users can read data in Teams at no extra charge.
- A free 30-day trial is available, and Copilot in Business Central is included with the user license.
Cons
- Premium is set per company, and an Essentials user cannot open that company, so manufacturing reprices every poster, not one planner.
- The Sales Order Agent and the Payables Agent need Copilot Credits, and other Azure AI features share 1,800 seconds per tenant.
- Partners sell the license and the project, Microsoft publishes no implementation fee, and the reseller sets the invoice.
Buy Business Central when the license price has to survive a board pack and the company already lives in Microsoft 365. A dimensional ledger with no warehouse is a different purchase, and it should be priced as a finance system rather than as this ERP.
Essentials covers finance, sales, inventory, warehouse, and projects, and Premium adds manufacturing and service orders on the company record, so Premium reprices everyone who opens that company rather than one planner.
Ask for the partner's order form next to Microsoft's list, because the website rate is not the cash that leaves the account.
Toolradar data: our accounting ranking tracks 279 products as of October 17, 2026. Of those, 91 publish a paid price, and the median entry price among them is $33.33/mo. Business Central sits above that median because the seat is a full ERP license.
Read Business Central and NetSuite on Toolradar, and the accounting software guide if you are still choosing a ledger.

What is Microsoft Dynamics 365 Business Central?
Business Central is Microsoft's cloud ERP for small and midsize companies. More than 55,000 companies use it, and Microsoft sells it only through partners, so there is no checkout that skips the reseller.
Essentials is the operating license for the books, inventory, warehouse, and projects.
That tier covers financial management, supply chain, warehouse and inventory, projects, and basic human resources, including budgets, fixed assets, multiple currencies, consolidation, and intercompany postings, so a multi-entity close does not require the manufacturing tier.
Bank feeds cover the United States and Canada, so a team elsewhere should not count that feed in the value. Unlimited dimensions let a new department sit on the transaction instead of requiring a new block of account numbers.
Premium adds service orders and manufacturing, including production orders, a bill of materials, and machine centers, for the whole company rather than one user. Microsoft's operational limits cap one environment at 300 companies.
Copilot in the product is included with the user license, while the Sales Order Agent and the Payables Agent need Copilot Credits. If the ERP is already chosen, the wider close stack is in the consolidation tools guide.
How Microsoft Dynamics 365 Business Central works
A new tenant starts with a partner, not a credit card. Purchase and implementation go through the partner network, and a free 30-day trial is available, including a partner-assisted trial if you qualify. The seat price does not include that project, and Microsoft publishes no implementation fee, so the board pack is license-only.
The license has to match the company you open. Microsoft's environment-access doc sets each company's User Experience field to Essentials or Premium, and an Essentials user can open only Essentials companies.
Turn on manufacturing for one legal entity and every person who posts in that company needs Premium, which is how a single plant reprices the whole posting team.
Team Members is not the same as a Teams look-up. Eligible Microsoft 365 users can read Business Central data in Teams at no extra charge once the tenant has one Business Central license, which covers look-up without a seat.
A Team Members user, for their own work only, can read, update existing records, approve workflows, create quotes, and edit job time sheets. A staff accountant who journals still needs Essentials or Premium, so the cheaper seats are for approvers and timekeepers.
Storage starts at 80 GB per tenant, plus 3 GB per Essentials user or 5 GB per Premium user, with one production environment and three sandboxes. Another production environment, bought through the partner, adds three sandboxes and 4 GB, so a second live database is an order line.
A tenant can add up to three External Accountant licenses, which limits how many people an outside firm can name. Essentials, Premium, and the Device license took a price and capacity increase in November 2025, and the reseller sets the price on the invoice.

Microsoft Dynamics 365 Business Central pricing
Microsoft's Business Central pricing page, read October 17, 2026, lists three user licenses, each paid yearly. Premium is $110 per user per month and Team Members is $8 per user per month.
Essentials is the base seat in the plan table, and it is the one to total when the work is finance, inventory, warehouse, and projects rather than a plant.
The September 2026 Dynamics 365 Licensing Guide lists the same Essentials and Premium rates.
There is no monthly checkout that skips the annual term, so a mid-year exit does not become a monthly bill.
What five and twenty users cost in license fees. Five Essentials users are $4,800 a year in license fees before the partner project. Twenty Essentials users are $19,200 a year when finance and inventory share one company and manufacturing stays off.
Twenty Premium users are $26,400 a year, which is $7,200 more than the Essentials year for the same headcount, and that gap is manufacturing for every poster rather than one planner.
Eight Essentials users plus twelve Team Members are $8,832 a year only while those twelve stay inside Team Members rights, and a move into journal entry means that person needs a full seat.
Microsoft publishes no Device price for a shared warehouse or shop-floor terminal, so the partner has to price a shared terminal. Copilot Credits, for the Sales Order Agent and the Payables Agent, are a second bill, pay-as-you-go on Azure or a prepaid commit, and Microsoft publishes no credit rate next to the user plans.
The Expense Agent is a paid public preview as of June 2026, so do not treat it as part of the seat.
Beside that Essentials year, NetSuite publishes no list price: an annual license of platform, modules, and users, plus implementation, with the quote structure in NetSuite pricing and the NetSuite review.
Sage Intacct publishes no list price and builds the year from modules, with planning as its own product, which fits a close that does not need a warehouse.
Acumatica publishes no list price and bills applications, usage, and deployment rather than named seats, so headcount is not the meter.
Odoo prints a per-user price, and yearly Standard is $24.90 per user per month for the first 12 months and $31.10 after that. Custom, which adds multi-company, is $49 per user per month yearly for that same introductory window and $61 after, so a group cannot stay on the cheaper plan.
The monthly list on Standard is $38.90, one app is free for unlimited users, and a Light User is $8.90 through an advisor. Twenty Standard users are $5,976 in year one and $7,464 after the discount ends, license math only, and hosting on Odoo.sh, implementation, and bill-scan credits are extra.

Who Microsoft Dynamics 365 Business Central is for
Business Central fits a CFO or controller who has outgrown a single-entity ledger, already runs Microsoft 365, and needs inventory and projects in the same books the board reads. The published seat price is why it beats a quote-only ERP when the board asks for a number this quarter.
A services firm whose pain is dimensions and multi-entity close, with no warehouse, should start at Sage Intacct and the multi-entity accounting guide instead of buying warehouse scope for a ledger problem.
A plant should price Premium for every poster, then compare Acumatica if headcount should not be the meter. A smaller team that can accept an app suite and a higher rate after the first year should price Odoo before paying for a partner implementation.
Skip Business Central when you cannot fund a partner project on top of the annual license, because the website total is not the year-one cash. Stay on a small-business ledger, covered in the QuickBooks Online review, while you are still one entity.
If the real question is what replaces NetSuite, use the NetSuite alternatives guide and QuickBooks versus NetSuite.

The bottom line
Business Central earns the contract when finance and operations should share a Microsoft database and the board wants a license number before the demo. Budget the partner invoice and the Premium company lock, not only the Essentials year, and keep Team Members only for people who will not post.
Choose NetSuite when orders and the ledger are one suite and a quote is acceptable. Choose Sage Intacct when the warehouse is out of scope and the pain is the close.
Choose Acumatica when the meter should be usage rather than seats. Choose Odoo when a published per-user app suite beats a partner-sold ERP, including a higher rate after the first year.
Once the ERP is chosen, the surrounding stack is in AI for accounting and free ERP software.
