Stampli vs BILL (2026): AP Workflow or Per-User Plans

Stampli vs BILL in 2026: BILL prints $49, $65 and $89 per-user plans and a $0.59 ACH fee, Stampli is quote-only. A 12-user, 400-bill month sets the bar.

Stampli vs BILL (2026): AP Workflow or Per-User Plans

Pick Stampli when the ERP is NetSuite, Sage Intacct or Dynamics and approvals are the bottleneck, and pick BILL when the ledger is QuickBooks Online or Xero and the CFO wants a price on paper. BILL prints its plans: Essentials $49, Team $65 and Corporate $89 per user a month, plus $0.59 per standard ACH payment. Stampli is quote-only; Stampli prints no price.

AP automation is software that captures a supplier invoice, routes it for approval, posts it to the ledger and pays the vendor. Prices below were read on 21 October 2026 on BILL's pricing page and Stampli's pricing page, and Stampli's fee terms on its terms of service.

Toolradar data: as of October 2026, BILL is listed as an alternative to 22 other tools on Toolradar and Stampli to 3, among the 633 finance tools the directory tracks. BILL is the name buyers cross-shop far more often; Stampli is the narrower AP specialist. Product detail is in the Stampli review and the BILL review.

Stampli vs BILL at a glance

Stampli BILL
Published software price None: quote only Essentials $49, Team $65, Corporate $89 per user a month; Enterprise custom
Who counts as a paid user Set in the order form Every user on Essentials and Team; Corporate discounts approver-only users
Standard ACH payment Fees set in the order form $0.59
Mailed check Fees set in the order form $1.99
QuickBooks Online and Xero sync Integrations listed for QuickBooks Online and Desktop Automatic 2-way sync from Team up; Essentials uses CSV
NetSuite, Sage Intacct, Dynamics Listed integrations; NetSuite is "Built for NetSuite" certified Automatic 2-way sync on Enterprise only, at custom pricing
Entities and vendors Unlimited, per the pricing page Multi-entity from Corporate up
PO matching 2-3 way matching included 2-way matching on Corporate, or a Procurement add-on below it
Card program Stampli Credit Card, free for customers BILL Spend & Expense at $0 per user

The split is clean. BILL sells a price list; Stampli sells a workflow and quotes it. A controller on QuickBooks Online can budget BILL from the pricing page in ten minutes. A controller on NetSuite gets a quote from both, because BILL's NetSuite sync sits on its custom Enterprise plan.

What does a 12-person AP team pay on BILL?

The scenario is a mid-size US company on QuickBooks Online: 12 people who enter, code or approve bills, 400 supplier bills a month, 300 paid by standard ACH and 100 by mailed check. Every figure is our multiplication of BILL's printed rates, not a BILL quote, and same-day payments, 1099 filing and taxes stay out.

Monthly line BILL Team BILL Corporate
12 users 12 x $65 = $780 12 x $89 = $1,068
300 standard ACH payments $177 $177
100 mailed checks $199 $199
Month $1,156 $1,444
Year $13,872 $17,328

Team is the right BILL column for this company, because it is the first plan with automatic two-way sync to QuickBooks Online. Essentials would save $192 a month on seats, but it moves data by CSV, so someone re-keys what the software was bought to remove.

Corporate is the ceiling, not the forecast. It is the first plan with custom approval policies, single sign-on, multi-entity accounting and included 2-way PO matching, and it discounts approver-only users. BILL does not print that discount, so a company with eight approvers who only sign should ask for the approver price before treating $1,444 as the bill.

The bar for Stampli follows from the table. A Stampli quote has to land under $13,872 a year, all-in, to beat BILL Team on cost for this team: that is about $2.89 per bill across 400 bills a month, our division. Stampli's terms set software fees, and Direct Pay payment fees under either a subscription or a pay-as-you-go model, in each order form, so ask for both lines in the same quote.

Where does the workflow decide it?

Stampli is built around the invoice. Its accounts payable page describes the invoice as the workspace: every question, document, change and approval stays on the invoice record, and approvers can answer questions and reroute approvals from there. For a team where approvers live in email and invoices stall for days, that design is the product.

Stampli's AI, which it calls Billy, captures and codes each line, identifies vendors, predicts approvers and flags duplicates, per Stampli's own pages. Routing rules run by entity, amount, department or vendor, and line-level PO and receipt matching keeps discrepancies, documents and discussion together. The pricing page lists 2-3 way matching as included, with full automation by Billy available.

BILL is built around the payment. Every plan includes approval workflows, standard approval policies, a centralized bill inbox, automatic W-9 collection and access to the BILL vendor network. Team adds AI multi-line bill coding and custom user roles; Corporate adds custom approval policies and procurement. BILL also runs receivables on the same subscription, which Stampli does not cover.

For a finance lead, the difference shows up at month end. Stampli keeps the approval trail and the conversation in one record that maps to the ERP's fields. BILL keeps AP, AR and payments in one subscription with a fee for every payment it sends, which is easy to forecast and easy to reconcile against bank activity.

Which ERP forces a quote?

NetSuite, Sage Intacct and Dynamics force one on both sides. BILL lists automatic 2-way sync with Oracle NetSuite, Sage Intacct, QuickBooks Enterprise, Microsoft Dynamics, Acumatica and Rillet only on Enterprise, which carries custom pricing; below it, the only route is a manual CSV import and export. Stampli quotes everyone.

Stampli's NetSuite integration is "Built for NetSuite" certified and, per Stampli, keeps OneWorld subsidiaries, departments, classes, locations and custom segments attached through coding, approval and export. It matches bills across multiple POs, line items and partial receipts before approval. That depth matters to a multi-subsidiary group more than to a single-entity company.

For a NetSuite shop, then, the comparison is quote against quote, and the best AP automation software for NetSuite ranking covers the other tools worth quoting. The ERP licence sits on top of either: NetSuite pricing and Sage Intacct pricing break those down.

Payment fees: printed against contracted

BILL prints every payment fee. A standard ACH payment costs $0.59, a check BILL mails costs $1.99, a virtual card payment is free, an international FX wire is free with the exchange rate applied, and an international USD wire costs $19.99. Same-day or next-day ACH costs $11.99, an instant payment 1.0% with a $9.99 minimum and a $100 maximum, and paying by card adds 2.9%.

Stampli prints none, and that cuts both ways. Its pricing page says Stampli Direct Pay covers domestic check and ACH, global ACH and wire, and virtual cards, and its terms set Direct Pay fees in the order form: either a charge for each ACH or check payment, or a monthly bundle of payments with overage at the per-payment rate. Stampli can raise those fees with 14 days' notice. A treasury team that pays most vendors by ACH should compare the contracted per-payment rate with BILL's $0.59 line by line.

The exceptions carry fees too. BILL charges $25.00 to void a check and $50.00 for a failed ACH from the sender after the receiver is paid, and 1099 e-filing costs $2.99 per form. Stampli's terms say all payments and Stampli fees are nonrefundable and that fees owed fall due immediately if the subscriber terminates. Ask Stampli for its exceptions schedule before signing.

Where each one falls short

Stampli's weaknesses. There is no published price, so every budget starts with a sales call, and the payment fees are in the contract rather than on the site. Its product menu lists payables, procurement, vendor management, payments, cards and expenses, with no receivables module. Its terms make service fees nonrefundable.

BILL's weaknesses. Every Essentials and Team user is a full seat, so approvers who only sign cost the same as the AP clerk. Mid-market ERPs sync only on the custom Enterprise plan. Payments carry a per-transaction fee, which adds up for a team that mails many checks.

Neither is the cheapest route in every setup. Teams weighing other options can compare Tipalti vs BILL for global payees, Ramp vs BILL for a card-led stack and the BILL alternatives list. Every printed AP price sits side by side in AP automation pricing compared, and the best AP automation software ranking covers fit beyond these two.

Who should pick Stampli, and who should pick BILL?

Situation Better fit Why
QuickBooks Online or Xero, under 15 users BILL Team Printed per-user seat with 2-way sync
NetSuite with several subsidiaries Stampli Certified integration that keeps OneWorld dimensions; BILL needs Enterprise
Many approvers who only sign Stampli, or BILL Corporate Stampli sets users in the quote; BILL discounts approvers only from Corporate
AP and AR in one tool BILL Receivables are on every plan
Heavy PO matching Stampli 2-3 way matching included; BILL needs Corporate or an add-on
Board wants a defensible software line now BILL Every plan and payment fee is printed

How we compared

On 21 October 2026 we read BILL's pricing page in full: the plan cards, the feature grid, the integration rows and the payor and receiver fee tables. The same day we read Stampli's pricing page, its terms of service including the Direct Pay addendum, and its accounts payable, NetSuite integration and Billy pages. The 12-person totals multiply BILL's printed rates and leave out every Stampli fee, because none is printed. Nothing here comes from a product trial. The Toolradar counts come from each tool's Toolradar record, read the same day.

Louis Corneloup, founder of Toolradar and Dupple, is the author. Background on the category is in what AP automation is, BILL's full fee schedule is unpacked in BILL pricing, and how this site weighs a printed rate against a quote is on how we rate.

FAQ

Which is better for a mid-size team, Stampli or BILL?

On QuickBooks Online or Xero, BILL Team is usually the simpler buy: $65 per user a month with automatic 2-way sync and a printed fee for every ACH payment. On NetSuite, Sage Intacct or Dynamics, Stampli is the stronger fit, because BILL syncs those ERPs only on its custom-priced Enterprise plan and Stampli's NetSuite integration is certified.

How much does Stampli cost?

Stampli is quote-only; Stampli prints no price. Its terms say software fees, and Direct Pay payment fees under a subscription or a pay-as-you-go model, are set in each customer's order form. Its pricing page lists unlimited entities, locations and vendors, a dedicated customer success manager and included onboarding.

How much does BILL cost per user?

BILL Essentials costs $49, Team $65 and Corporate $89 per user a month, and Enterprise is custom. Essentials and Team bill every user as a standard user; Corporate and Enterprise offer lower-cost approver-only users, at a price BILL does not print. Payment fees are separate and printed on the same page, from standard ACH to mailed checks.

Does BILL integrate with NetSuite?

Yes, but only on the Enterprise plan, which has custom pricing. Essentials, Team and Corporate connect to NetSuite only through manual CSV import and export. Team and Corporate do sync automatically with QuickBooks Online and Xero.

Does Stampli charge per payment?

Stampli's terms describe two Direct Pay models: a monthly subscription fee or a pay-as-you-go fee for each ACH or check payment Stampli processes. The amounts are in the order form, not on the website, so ask for the per-payment rate and set it next to BILL's printed ACH and check fees.

Can BILL handle receivables as well as payables?

Yes. Every BILL plan includes accounts receivable: custom invoices, payment reminders, auto-charge and getting paid by ACH and credit card. Stampli focuses on procure-to-pay and does not list receivables on its pricing page.
