BILL (Bill.com) Review 2026
The verdict on BILL's AP plans, the approval controls that set the tier, the real seat cost, and the buyers it fits poorly.
BILL is worth it for a finance team on QuickBooks Online or Xero that approves bills across several people and pays vendors in bulk. Team costs $65 per user a month with automatic sync, and Corporate at $89 adds the custom approval policies that controllers usually need. Both prices were checked on BILL's pricing page in October 2026.
It is the wrong buy for a team of two or three approvers who pay a handful of bills a month, for a NetSuite or Sage Intacct shop that will not take an Enterprise quote, and for a company that pays most overseas vendors by USD wire.
The seat is only part of the cost. At eight users, Corporate comes to $8,544 a year against $6,240 on Team, so the approval controls add $2,304 a year before any payment fee. That is our arithmetic from the published rates.
Key factsBest for: Finance teams with several approvers on QuickBooks Online…
- Approval-controlled AP with per-user seats and per-payment fees, strongest where the ledger sync is clean.
- Custom approval policies: Corporate and up, not Team
- Team plan sync: Automatic with QuickBooks Online, Pro, Premier and Xero
- ACH payment fee: $0.59 per payment
- NetSuite or Sage Intacct sync: Enterprise only, quoted
Pros
- Custom approval policies by approver and dollar amount start at Corporate, and approver-only discounts start there too.
- Automatic two-way sync with QuickBooks Online, Pro, Premier and Xero starts on Team.
- Spend & Expense carries no per-user software fee, and virtual card payments carry no BILL fee.
Cons
- Administrators can pay a bill before its approvers sign off, as long as those approvers are assigned, so the admin role is a control in its own right.
- Essentials and Team bill every approver as a full user, and BILL's pricing page publishes no approver-only seat price.
- NetSuite and Sage Intacct sync sits on Enterprise, which is quoted, and each USD international wire costs $19.99.
BILLToolradar data: Toolradar, the software directory we run, evaluated 83 expense management tools for its October 2026 ranking and placed BILL Spend & Expense first. That list covers cards and expense claims, not AP approvals, so it speaks only to the card side of this verdict.
Buy BILL when approvals are what makes your AP slow, risky or hard to audit. The product earns its seat price when a bill must pass through the right people before it is paid, and when the ledger has to match the payment record without anyone re-keying it.
The real question is whether your approval rules are complicated enough to pay for Corporate, and whether your ledger needs the automatic sync that Team includes. One approval chain on a QuickBooks Online ledger points to Team. Bills routed by dollar amount point to Corporate.
What is BILL?
BILL is a US accounts payable and accounts receivable platform for finance teams, sold with procurement, payments and a company card product. Its AP and AR plans are priced per user per month across three published tiers, with Enterprise quoted. Spend & Expense, the card and expense product, carries no per-user software fee.
Every plan includes one inbox for bills, automatic W-9 collection and verification, and a connection to more than 8M vendors through the BILL network. Our Toolradar profile sits at toolradar.com/tools/bill-com for the directory's own view.
How BILL works
A bill moves through four stages in BILL, and the plan you choose decides how much of each stage you control.
Capture. Bills arrive in one inbox on every plan. Team and above add the AI coding agent, so multi-line invoices come with proposed ledger lines. Essentials leaves all coding to the person who keys the bill.
Approval. Standard approval policies come on every plan, so Essentials can run one chain. Custom policies, built on required approvers, dollar amounts and more, start at Corporate. Any one member of an approval group can sign off for the group, and the bill moves on once one of them acts.
A policy edit applies only to future bills, so a new threshold does not re-route bills already in the queue.
Payment. An ACH payment costs $0.59 and a mailed check $1.99. A virtual card carries no BILL fee, and an international payment in local currency is free apart from the exchange rate. A USD international wire costs $19.99, and BILL says that fee can be passed to the receiver.
Sync. Team and Corporate sync bills automatically in both directions with QuickBooks Online, QuickBooks Pro, QuickBooks Premier and Xero. Essentials uses a manual CSV import. NetSuite, Sage Intacct, QuickBooks Enterprise, Microsoft Dynamics, Acumatica and Rillet sync only on Enterprise, which is quoted. Enterprise is also where purchase-order sync and three-way matching sit.
BILL key features
BILL pricing
BILL publishes per-user prices for its three AP and AR plans on its pricing page, checked in October 2026 in US dollars, with Enterprise quoted. Payment fees are listed separately on every plan, so the seat price is only the start of the bill.
The fees that move a finance team's total most are the ACH rate, the check, the USD wire and instant payment (1.0%, with a $9.99 minimum and a $100 maximum). The page does not publish the approver-only seat price or the procurement add-on price, so ask for both in writing.
Our arithmetic from those rates, for eight users: Team comes to $6,240 a year and Corporate to $8,544. The $2,304 gap buys custom approval policies, approver discounts, single sign-on and multi-entity accounting. Payment fees come on top of both. This is a seat calculation, not a BILL quote.
Methodology. We read BILL's pricing page and its payment approvals product page on 10 October 2026, and the pricing page of each alternative the same day. Totals multiply those published rates. Where a vendor publishes no list price, its item card or the pricing table says so.

BILL pros and cons
What we like
- Custom approval policies by approver and dollar amount start at Corporate, and approver-only discounts start there too.
- Automatic two-way sync with QuickBooks Online, Pro, Premier and Xero starts on Team.
- Spend & Expense carries no per-user software fee, and virtual card payments carry no BILL fee.
What could be better
- Administrators can pay a bill before its approvers sign off, as long as those approvers are assigned, so the admin role is a control in its own right.
- Essentials and Team bill every approver as a full user, and BILL's pricing page publishes no approver-only seat price.
- NetSuite and Sage Intacct sync sits on Enterprise, which is quoted, and each USD international wire costs $19.99.
Who BILL is for
BILL fits a finance team of five or more people who approve bills, runs QuickBooks Online or Xero, and pays most vendors by ACH or virtual card. Corporate suits approvals that turn on dollar amounts or required approvers. Team suits automatic sync with one standard chain.
Skip BILL when the approval group is small or the payment rails are expensive. A two- or three-person team paying a handful of bills a month pays a per-user price for software whose main gain is approval routing and sync.
A company that pays most overseas vendors by USD wire carries the $19.99 fee on each one unless it passes that fee to the receiver. A NetSuite or Sage Intacct shop should not budget Team or Corporate for automatic sync, because that sync sits on Enterprise.
BILL is also the wrong buy when cards come first. Spend & Expense has no per-user software fee, but a company that wants cards and expense control before an AP suite should compare it with Ramp, whose free tier is $0 per user a month.
Best BILL alternatives
If BILL is not the right fit, these are the closest options.
| Tool | Best for | Starts at | |
|---|---|---|---|
| BILL | Finance teams with several approvers on QuickBooks Online or Xero that pay vendors in bulk. | Essentials $49, Team $65, Corporate $89 per user a month | Visit → |
| Ramp | Teams that want corporate cards and expense control at no software fee before they need an AP suite. | Free $0 per user a month | Visit → |
| Melio | Small teams that mostly pay vendors by ACH and want a low fixed monthly cost. | Core $25 a month billed monthly ($20 billed annually) plus $10 per ext | Visit → |
| Tipalti | Companies that pay many vendors or contractors across borders and expect transaction fees to be the bigger line. | Accounts Payable plans start at $99 a month with unlimited users, plus | Visit → |
| Stampli | Teams whose approval chase happens in email and who will take a sales quote before they see a price. | No list price in US dollars | Visit → |
The bottom line
Buy BILL on Team when your ledger is QuickBooks Online or Xero, your approvals follow one chain, and you want automatic sync without a custom quote. Buy Corporate when approvals turn on dollar amounts, because custom policies and approver discounts are what that tier is for.
Quote Enterprise when NetSuite or Sage Intacct is the ledger, or when you need dual control or three-way matching, since those sit only on that tier.
Choose Ramp when cards and spend come first and you want a free tier before any AP suite.
Choose Tipalti for cross-border payouts where transaction pricing is the bigger line, and Stampli when the approval conversation is the pain and you will take a sales call. Melio covers small teams that pay mostly by ACH.
This page is general information, not personalized financial advice. Confirm current terms, fees and credit-line eligibility with BILL before you sign, since Spend & Expense includes a card product.
