TL;DR

Melio is worth it for a small finance team that pays vendors mostly by ACH from QuickBooks Online or Xero and wants a fixed monthly price instead of per-user AP seats. Go is free for one user, Core is $25/mo, Boost is $55/mo and Unlimited is $80/mo with unlimited users and unlimited free ACH, all read on Melio's pricing page in October 2026.

It is the wrong buy for a team that pays by check or needs same-day settlement on most payments, because the $1.50 check fee and the 1% fast-payment fee add up faster than the subscription, and for a NetSuite shop that is not ready to pay for Unlimited.

The arithmetic surprises buyers: a four-person team paying 80 ACH bills a month spends $85/mo on Core once extra users and the per-payment ACH fee are counted, more than the flat Unlimited price. Our scenario, built from the published rates, is below.

  • Updated: October 27, 2026
  • Best for: Small AP teams on QuickBooks or Xero that pay vendors by ACH and want a flat monthly price.
  • Price as of October 27, 2026: Go free (1 user); Core $25/mo; Boost $55/mo; Unlimited $80/mo; 20% off annual; $0.50 per ACH above the allotment.
  • Bill pay with a free tier, tiered ACH allotments and approvals from Core, cheapest on Unlimited once volume grows.
  • Entry plan: Go is free for one user with 5 ACH payments a month
  • Extra ACH payment: $0.50 each above the plan allotment
  • Approval workflows: Core and up, not on Go
  • NetSuite sync: Unlimited plan only

Pros

  • Unlimited includes unlimited users and unlimited free ACH, so a growing team pays no seat fee.
  • Core includes custom approval workflows, user roles, W-9 collection and QuickBooks Online or Xero sync.
  • Any bill can be paid by card for 2.9% while the vendor still receives ACH or a check, a known-cost cash-flow lever.

Cons

  • Each ACH above the allotment carries a fee and each check costs $1.50, so a check-heavy AP run costs more than the subscription.
  • Fast ACH and instant transfers cost 1% with a dollar cap, which hits every large same-day payment.
  • NetSuite sync and unlimited seats sit only on Unlimited, and there is no purchase order matching on any plan.

Toolradar data: Toolradar, the software directory we run, tracks 229 invoicing tools as of October 2026 and lists Melio outside the top 10 of its invoicing ranking, because Melio's receivables side is a payment-link tool rather than a full invoicing suite. Its directory profile is at toolradar.com/tools/melio.

Buy Melio when the pain is the mechanics of paying bills, not the policy around them. A controller who spends the last week of the month keying vendor payments into a bank portal and matching them back to the ledger gets most of the value on Core. The decision is which plan the payment volume pushes you onto, not whether the product does AP. Each tier includes a block of free ACH payments and charges a per-payment fee for the next one, so a team that pays 100 vendors a month prices out the Unlimited plan on fees alone. Our AP automation ranking places Melio among the simplest tools in the category, which is the point.

What is Melio?

Melio is a US bill payment and receivables platform for small businesses, sold on four published plans (Go, Core, Boost, Unlimited) and a quoted Platinum tier. The subscription covers users and a monthly allotment of free ACH payments; checks, fast payments, card payments and international payments carry their own fees on every plan.

Vendors do not need a Melio account to be paid. A business pays by bank transfer or card, and the vendor receives an ACH deposit or a mailed check. The company says more than 100,000 businesses use the platform and that it has processed over $100B in payments.

How Melio works

A bill moves through capture, approval, payment and sync. The plan decides how much control you have at the second and fourth steps, and the payment mix decides the fees at the third.

Capture. Bills arrive by upload, by a bills inbox email address, or through the accounting sync. Go caps the sync at a limited number of QuickBooks Online or Xero items; Core removes that cap.

Approval. Go has no approval workflow, so the single user pays what the single user enters. Core adds custom approval workflows and user roles, and Boost adds routing by vendor and by amount, which is the control a controller wants before a $20,000 payment leaves the account. Extra users cost $10/mo each on Core and Boost ($8/mo billed annually); Unlimited includes unlimited seats.

Payment. Standard ACH is free up to the plan allotment (5 on Go, 20 on Core, 50 on Boost, unlimited on Unlimited) and a small fee each above it. A paper check is $1.50, a fast ACH or instant transfer is 1% with a $75 maximum, a card payment is 2.9% of the amount, and an international payment is a $20 flat fee. Paying a $5,000 supplier bill by card to earn points costs $145 in fees, so the card option is a cash-flow lever, not a free one.

Sync. Core syncs with QuickBooks Online and Xero, Boost adds QuickBooks Desktop, and Unlimited adds NetSuite. A NetSuite shop therefore starts at the Unlimited price, which is still a fraction of a per-user AP suite but removes the cheap entry point.

Melio key features

Free ACH allotment per planEssential
5 free ACH payments on Go, 20 on Core, 50 on Boost and unlimited on Unlimited, then a per-payment fee. The allotment, not the subscription, is what sets the tier for a volume payer.
Approval workflows and rolesEssential
Custom approval workflows and user roles start on Core; Boost adds routing by vendor and by amount. Go has no approvals at all.
Accounting sync by tierEssential
QuickBooks Online and Xero on Core, QuickBooks Desktop on Boost, NetSuite on Unlimited. Go syncs a limited number of items.
Pay by card, vendor gets a bank transfer
Any bill can be paid by credit card for a 2.9% fee while the vendor receives ACH or a check, which stretches cash by a billing cycle at a known cost.
W-9 collection and 1099 automation
Available from Core, so contractor-heavy teams collect tax forms inside the payment flow instead of by email.
Receivables and payment links
Invoices and payment links on every plan, including Go. It is a get-paid tool for a small business, not a collections suite.

Melio pricing

Melio publishes four plan prices on its pricing page, read in October 2026 in US dollars, plus a quoted Platinum tier. Annual billing takes 20% off the monthly figure: Core drops to $20/mo, Boost to $44/mo and Unlimited to $64/mo. New customers get 90 days of unlimited free ACH payments, which hides the allotment question for one quarter.

The fees that move the total are the extra ACH fee, the paper check at $1.50, the 1% fast payment (capped at $75) and the 2.9% card fee. A team that pays 40 vendors by check spends $60/mo on postage-equivalent fees before any subscription, which is more than the Core plan itself.

Our scenario, from the published rates, for four users paying 80 ACH bills a month: Core is $25 plus $30 for three extra users plus $30 for 60 ACH payments above its allotment, $85/mo in total. Boost is $55 plus $30 for users plus $15 for 30 extra payments, or $100/mo. Unlimited is a flat $80/mo, so the top plan is the cheapest of the three at that volume. For comparison, four users on BILL Team cost $260/mo in seats plus $0.59 per ACH, about $307/mo for the same 80 payments. This is our arithmetic, not a Melio quote.

Methodology. We read Melio's pricing page and homepage on 17 October 2026, and the pricing pages of BILL, Ramp, Tipalti and Stampli the same day. Totals multiply the published rates; where a vendor publishes no list price, the card says so.

Melio pros and cons

What we like

  • Unlimited includes unlimited users and unlimited free ACH, so a growing team pays no seat fee.
  • Core includes custom approval workflows, user roles, W-9 collection and QuickBooks Online or Xero sync.
  • Any bill can be paid by card for 2.9% while the vendor still receives ACH or a check, a known-cost cash-flow lever.

What could be better

  • Each ACH above the allotment carries a fee and each check costs $1.50, so a check-heavy AP run costs more than the subscription.
  • Fast ACH and instant transfers cost 1% with a dollar cap, which hits every large same-day payment.
  • NetSuite sync and unlimited seats sit only on Unlimited, and there is no purchase order matching on any plan.

Who Melio is for

Melio fits a company with one to ten people in AP, a QuickBooks or Xero ledger, and a vendor base that accepts ACH. Core suits a team that needs one approval chain and sync. Unlimited suits any team past about four users or 100 payments a month, where the flat price beats the seat-plus-fee stack.

Skip Melio when the payment rails are the expensive part. A business that mails 100 checks a month pays $150 in check fees on top of its plan, and one that needs same-day settlement on large payments hits the fast-payment cap on every big transfer. A company paying overseas suppliers in local currency should price the $20 flat international fee against Tipalti, which is built for cross-border payouts.

Melio is also the wrong buy when approvals, not payments, are the problem. Routing by amount sits on Boost, there is no purchase order matching, and a controller who needs three-way matching or dual control should read our BILL review or Stampli review instead, and our AP automation pricing comparison for the full price grid.

The bottom line

Buy Melio on Core when one approval chain and a QuickBooks Online or Xero sync are enough and the team pays fewer than about 40 ACH bills a month. Move straight to Unlimited when the team has more than three users or pays more than 100 bills a month, because the flat Unlimited price beats the seat-plus-fee stack of the lower plans and is the only tier with NetSuite sync. Treat Go as a trial for a one-person business, not a plan a finance team runs on.

Choose Ramp when cards and expense control come first and you want bill pay thrown in free. Choose Tipalti for cross-border payouts, BILL for dollar-based approval policies and ERP sync, and Stampli when the invoice conversation is the pain. Our AP automation explainer covers the category.

Frequently asked questions

Is Melio worth it in 2026?

Yes for a small AP team on QuickBooks Online or Xero that pays vendors by ACH and wants a flat monthly price with approvals included from Core. It is a poor fit for a check-heavy payer, for a team that needs same-day settlement on most payments, or for a company that needs purchase order matching, which Melio does not offer on any plan.

How much does Melio cost in 2026?

Go is free for one user, Core is $25/mo, Boost is $55/mo and Unlimited is $80/mo, with 20% off on annual billing and a quoted Platinum tier above. Extra users on Core and Boost are $10/mo each. Payment fees come on top: $0.50 per ACH above the plan allotment, $1.50 per check, 1% for fast or instant payments and 2.9% for card payments. Prices were read on Melio's pricing page in October 2026.

Does Melio have a free plan?

Yes. Go is free forever for one user and includes 5 free ACH payments a month, receivables with payment links and a limited accounting sync. It has no approval workflows, so it suits a sole proprietor rather than a finance team. New customers also get 90 days of unlimited free ACH payments.

Which Melio plan syncs with NetSuite?

Only Unlimited, the top published plan, billed monthly or at $64/mo annually. Core syncs with QuickBooks Online and Xero, and Boost adds QuickBooks Desktop. A NetSuite shop therefore skips the two cheaper tiers.

Melio or BILL for a four-person AP team?

Melio on Unlimited costs a flat monthly price with unlimited users and ACH, while BILL Team costs $260/mo in seats plus $0.59 per ACH payment. BILL earns the gap only when the team needs dollar-based approval policies, dual control or NetSuite and Sage Intacct sync on Enterprise, none of which Melio matches.

What should a buyer confirm before signing?

The exact item cap on the Go sync, whether the 90-day free ACH offer applies to the plan you pick, and the fee for the payment methods your vendors actually accept. The check and fast-payment fees decide the real monthly cost more than the subscription does.
