Zoho Books Pricing 2026: Free to Ultimate, Monthly vs Yearly
Zoho Books costs $0 to $275 a month billed monthly, or $15 to $240 billed yearly. Every plan, add-on and user cap, with yearly cost scenarios for finance teams.

Zoho Books costs $0 on the Free plan, then $20, $50, $70, $150 and $275 per organization per month on Standard, Professional, Premium, Elite and Ultimate when billed monthly. Billed yearly, the same plans drop to $15, $40, $60, $120 and $240 a month. We read both columns on Zoho's US pricing page on October 19, 2026.
That makes Zoho Books the cheapest multi-user ledger most US finance teams will price this year, and the yearly toggle is worth between 13% and 25% depending on the plan. The real budget question is not the sticker, though: it is which user cap, invoice cap or add-on pushes you to the next tier.
Toolradar data: Toolradar, the software directory we run, tracks 279 accounting tools and puts the median cheapest paid plan at $33.33 a month across the 91 that publish a price, as of October 19, 2026 (accounting software ranking). Zoho's entry paid plan sits below that median on either billing cycle. The directory profiles for Zoho Books, QuickBooks and Xero carry the wider comparison.

How much does Zoho Books cost per plan?
| Plan | Billed monthly | Billed yearly (per month) | Users included | Annual invoice cap |
|---|---|---|---|---|
| Free | Free | Free | 1 user plus 1 accountant | 1,000 |
| Standard | $20/mo | $15/mo | 3 | 5,000 |
| Professional | $50/mo | $40/mo | 5 | 10,000 |
| Premium | $70/mo | $60/mo | 10 | 25,000 |
| Elite | $150/mo | $120/mo | 10 | 100,000 |
| Ultimate | $275/mo | $240/mo | 15 | 100,000 |
All prices, user counts and caps were read on Zoho Books' US pricing page on October 19, 2026. Zoho quotes every plan "per org per month" and says prices exclude local taxes. Bill and expense caps match the invoice caps plan for plan.
The ladder has one odd rung: Elite costs more than double Premium and adds no users. Both include 10 people. What Elite buys is the inventory operation: warehouses, composite items, serial and batch tracking, bin locations, shipping labels, Etsy, eBay and Amazon channels, and up to 2 Shopify stores. A services company or a SaaS business has no reason to be on it.
Monthly vs yearly: what the toggle saves
Yearly billing is a straight discount for paying 12 months up front, and its size shrinks as you climb. The table multiplies each printed monthly rate by 12 and compares it with the printed yearly rate times 12. Zoho prints both numbers, so these are like-for-like list prices, not estimates.
| Plan | 12 months billed monthly | 12 months billed yearly | Saving | Saving as a share |
|---|---|---|---|---|
| Standard | $240 | $180 | $60 | 25% |
| Professional | $600 | $480 | $120 | 20% |
| Premium | $840 | $720 | $120 | 14% |
| Elite | $1,800 | $1,440 | $360 | 20% |
| Ultimate | $3,300 | $2,880 | $420 | 13% |
Our arithmetic on Zoho's October 19, 2026 list prices, before sales tax.
The percentage is highest where the dollars are smallest. Standard saves a quarter of the bill but only $60 a year, so a founder who might upgrade within months should stay monthly and keep the option open. Elite and Ultimate save $360 to $420 a year, real money, but those are the plans where a controller most wants to confirm fit before locking in.
Commit yearly once the plan has survived one close cycle. Zoho's FAQ says there is no contract and you may cancel at any time; the refund terms for an annual prepayment sit in a separate refund policy, so read that before paying a year in advance. A practical rule: run the 14-day trial, then two or three months billed monthly, then switch to yearly once the user count and invoice volume have settled.
Add-ons follow the same two-column logic. Every add-on below has a monthly rate and a lower yearly rate, so a team on a yearly plan should buy its add-ons yearly too, or the discount on the base plan leaks away on the extras.
Add-ons: the second half of the bill
| Add-on | Billed monthly | Billed yearly (per month) | Unit |
|---|---|---|---|
| Extra user | $3 | $2.50 | per user per month |
| Document autoscans | $10 | $8 | per 50 scans per month |
| Extra location | $12 | $10 | per location per month |
| Expense claims | $9 | $7 | per active user per month |
| BillPay | $69 | $59 | per month, includes 100 ACH vendor payments |
Read on the same pricing page on October 19, 2026. Zoho's FAQ confirms the user add-on at $3 a month or $2.50 billed annually. Add-ons are not available on Free, except document autoscans.
The $3 seat is the most useful price on this page. QuickBooks Online sells no extra seat inside a plan at all, so this small fee changes the upgrade math. A team that outgrows Professional's 5 users does not need Premium: it can add seats one at a time until the features, not the headcount, justify the jump.
BillPay is where a small AP function starts paying real money. At $69 a month billed monthly it costs more than Premium itself, and it brings 100 ACH vendor payments, PO matching with two-way and three-way matching, vendor approval, advance payments on POs and batch payments. A company paying 30 vendors a month should compare it with a dedicated tool; our BILL pricing explainer and AP automation ranking price that route.
Expense claims are per active user, which means per employee who files. A 20-person company where everyone submits receipts adds $140 to $180 a month depending on billing, which can exceed the ledger. If spend management is the real need, our expense management ranking and Expensify pricing explainer are the comparison.
Seats or the next plan? The break-even math
Adding users to Professional beats upgrading to Premium for headcount alone, all the way to 10 people. Professional plus 5 extra seats costs $52.50 a month billed yearly, below the yearly Premium rate. Billed monthly the same ten-person setup is $65 against $70. Either way the extra-seat route stays cheaper at every size Premium covers.
So upgrade to Premium for features, never for people. Premium adds basic revenue recognition, fixed asset management, budgets, cash flow forecasting and a vendor self-service portal. A controller who keeps the fixed asset register and the budget in spreadsheets is the buyer; a team that only needs a sixth login is not.
The same logic applies one level down. Standard plus 2 extra seats billed yearly is $20 a month for 5 users, but Standard lacks purchase orders, multi-currency, inventory and project profitability. Professional exists for those features, and a company that invoices in euros or tracks stock moves up for that reason alone.
Ultimate is the plan the seat math argues against hardest. It includes 15 users, yet Premium plus 5 extra seats covers the same 15 people for $72.50 a month on yearly billing, a fraction of Ultimate's yearly rate. Ultimate's case is the analytics layer, 50+ prebuilt visualizations, KPI tracking and embedded reports, plus everything Elite adds for inventory. Buy it for those, or for an FP&A function that refuses a separate BI tool.
What a finance team pays in a year: four scenarios
| Scenario | Plan and add-ons | Year billed monthly | Year billed yearly |
|---|---|---|---|
| Founder, revenue under $50K | Free | $0 | $0 |
| Three-person team, one entity | Standard | $240 | $180 |
| Six users, multi-currency invoicing | Professional plus 1 extra user | $636 | $510 |
| Ten users, budgets and vendor payments | Premium plus BillPay | $1,668 | $1,428 |
Our multiplication of Zoho's October 19, 2026 list prices, before sales tax and payment processing fees, so treat them as budget lines rather than quotes.
The Free plan is a real ledger with a hard revenue wall. Zoho states the Free plan stays available while revenue for the financial year does not exceed $50K. It includes bank reconciliation, recurring invoices, a customer portal, 1099 preparation and filing, and 50+ reports, capped at 1 user plus an accountant and 50 receipt scans a month. The day the company crosses the threshold, budget for Standard.
The ten-user scenario shows where Zoho's pricing bites. Premium is cheap; Premium plus BillPay roughly doubles the bill. Even so, $1,428 a year for ten users, budgets, fixed assets and 100 ACH payments a month is below the cost of a single QuickBooks Online Plus subscription at list.
Zoho Books vs QuickBooks Online and Xero, like for like
Neither Intuit nor Xero prints a yearly price on its US pricing page, so the fair comparison uses Zoho's monthly column.
| Product | Entry paid plan, billed monthly | Mid plan, billed monthly | Top self-serve plan, billed monthly | Annual billing |
|---|---|---|---|---|
| Zoho Books | Standard $20/mo, 3 users | Professional $50/mo, 5 users | Ultimate, 15 users | Yes, 13% to 25% lower |
| QuickBooks Online | Simple Start $38/mo, 1 user | Essentials $85/mo, 3 users; Plus $140/mo, 5 users | Advanced $340/mo, 25 users | Not offered on the pricing page |
| Xero | Early $27/mo, 20 invoices and 5 bills | Growing $59/mo | Established $97/mo | Not offered; Xero bills monthly |
QuickBooks and Xero list prices were read on their US pricing pages on October 19, 2026. Both run introductory discounts (QuickBooks 50% off for 3 months, Xero 90% off for 6 months), which this table ignores because a finance team budgets the ongoing rate.
Five users cost less than half as much on Zoho Professional as on QuickBooks Plus. The $90 monthly gap is $1,080 a year before Zoho's yearly discount widens it. The full Intuit ladder, with payroll and payments, is in our QuickBooks Online pricing explainer.
Xero is the closer rival on price, and it caps volume rather than people. Early stops at 20 invoices and 5 bills, so most real companies start on Growing at $59 a month, nearly three times Zoho Standard. Xero's case is its accountant network and app marketplace; our Xero review weighs that against the bill.
The steelman for paying more: QuickBooks wins on US payroll depth, bank feed coverage and the number of bookkeepers who already know it. If your outside accountant only works in QuickBooks, the cheaper ledger can cost more in hours than it saves in subscription. Our best accounting software ranking covers that fit question; the startup bookkeeping cost guide prices the accountant side.
Gotchas before you pick a plan
- Each organization is a separate subscription. Zoho prices per org and lets you add businesses as separate organizations, so two legal entities mean two plans and no consolidation between them.
- Elite and Premium share a 10-user cap. Moving up for inventory does not add a single seat.
- Receipt scans step by plan: 50 a month on Free, 200 on Standard and Professional, 1,000 on Premium and above.
- Scheduled reports are capped: 5 on Free, 50 on Standard, 200 from Professional up.
- Prices exclude local taxes, so the invoice lands above the list figure in states that tax SaaS.
A group with several entities should price a different category. Once intercompany eliminations matter, the comparison moves to NetSuite, Sage Intacct or Odoo; our multi-entity accounting ranking and Odoo pricing explainer start there, and the CFO software pricing index puts the whole finance stack on one page.
How we priced this
We read Zoho Books' US pricing page, including both billing columns, the add-on repository and the plan FAQ, on October 19, 2026, and the US pricing pages of QuickBooks Online and Xero the same day. Every yearly total and scenario on this page is our multiplication of those printed list prices; no figure is a vendor quote or a negotiated rate. The Toolradar figures come from its accounting ranking as published on October 19, 2026. Re-check Zoho's page before committing to a yearly term, because the discount is set by the vendor and can change.
FAQ
How much does Zoho Books cost per month in 2026?
Zoho Books has a Free plan and five paid plans: Standard $20, Professional $50, Premium $70, Elite $150 and Ultimate $275 per organization per month billed monthly. Billed yearly the monthly equivalents are $15, $40, $60, $120 and $240, read on Zoho's US pricing page on October 19, 2026. Prices exclude local taxes.
How much do you save with Zoho Books annual billing?
Between 13% and 25%, depending on the plan. In dollars, a year of Standard costs $60 less on yearly billing, Elite $360 less and Ultimate $420 less, based on the two price columns Zoho prints. Add-ons carry their own yearly discount, extra users and BillPay included.
Is Zoho Books really free?
Yes, for businesses whose revenue for the financial year stays at or below $50K. The Free plan covers 1 user plus an accountant, 1,000 invoices and 1,000 expenses a year, bank reconciliation, 1099 filing and 50 receipt scans a month. Paid add-ons, apart from document autoscans, are not available on it.
How much does an extra user cost on Zoho Books?
An extra user costs $3 a month, or $2.50 a month billed annually, on any paid plan. Standard includes 3 users, Professional 5, Premium and Elite 10 and Ultimate 15. Adding seats to Professional stays cheaper than upgrading to Premium for every team of up to 10 people.
Is Zoho Books cheaper than QuickBooks Online?
Yes, at every comparable tier. On monthly billing, five users cost $90 a month less on Zoho Professional than the $140 QuickBooks Plus charges, and the entry plans are $20 against $38. QuickBooks offers no yearly price on its US pricing page, so Zoho's annual discount widens the gap further. QuickBooks keeps the edge on US payroll and accountant familiarity.
Does Zoho Books charge for each company?
Yes. Zoho quotes every plan per organization per month, and a second business is set up as a separate organization, so each legal entity carries its own subscription. There is no built-in consolidation across organizations, which is the point where groups look at mid-market ERP instead.
Which Zoho Books plan should a small finance team choose?
Professional fits most teams that need purchase orders, multi-currency or inventory, at $40 a month billed yearly for 5 users plus $2.50 per extra seat. Premium earns the step up only if you will use budgets, cash flow forecasting, fixed assets or basic revenue recognition. Elite is for stock-heavy businesses with warehouses or online sales channels.
