Acumatica Pricing 2026: How Unlimited-User Licensing Is Billed

Acumatica prints no list price in 2026. How editions, transaction tiers and licenses set the quote, the 10% renewal cap, and a 25-user cost against Business Central.

Acumatica Pricing 2026: How Unlimited-User Licensing Is Billed

Acumatica publishes no list price for its ERP subscription in 2026. Partners quote it from three inputs: the edition and modules, the monthly transaction tier, and the deployment license, with unlimited users on consumption licensing. The only dollar figures Acumatica prints are limited-time APEX packages from under $1,495 a month for distribution, implementation included. Business Central, by contrast, prints $80 per user a month.

That makes Acumatica the opposite bet to a per-seat ERP. You pay for how much business runs through the system, not for how many people log in, so the price question becomes "how many orders and invoices do we process in our busiest month?" rather than "how many seats do we need?"

Facts on this page come from Acumatica's pricing page, its Licensing Guide (October 2025), its SaaS FAQ, its product editions page and its offers page, all read on October 21, 2026. Toolradar data: compared with 177 inventory management tools on Toolradar, the software directory we run, Acumatica is listed as an alternative to 10 of them, against a peer median of 3, which places it joint 20th, as of October 2026. Buyers who shortlist it are usually weighing a full ERP against several narrower tools.

What sets the price at a glance

Price driver What you choose How it moves the quote
Edition Essentials, Select, Prime or Enterprise, inside an industry edition (Distribution, Manufacturing, Construction, Retail, Professional Services, General Business) Higher editions add modules, larger system limits and reserved resources
Transaction tier 22 tiers, from S1 (1,000 commercial transactions a month) to P3+ (more than 1 million) Your busiest month must fit the tier, or the tier rises mid-contract
Licensing method Transaction-tier consumption (unlimited users) or named users Named-user licenses cap enabled users by edition
Deployment SaaS, the most popular choice, or Private Cloud Subscription Private cloud can need separate Windows Server and SQL Server licenses
SaaS Reserved Resources Choice, Enhanced, Premium or Ultimate Buys dedicated capacity, parallel processing and higher system limits
Services Implementation and support from an Acumatica partner Billed by the partner, outside the subscription

The subscription itself is an annual fee. Acumatica's FAQ says it covers updates and upgrades, hosting, backups and disaster recovery, and that partners may offer monthly or annual billing on top of it, since Acumatica sells only through partners.

How the transaction tier is counted

Your tier is set by the single highest count among eight transaction types in a month, not by their total. The Licensing Guide lists the eight: sales orders, shipments, AR invoices, customer payments, purchase orders, purchase receipts, AP bills and AP payments. Whichever is largest that month is your Commercial Transaction Volume.

Take a distributor that, in a normal month, books 2,600 sales orders, ships 2,400 times, raises 2,600 AR invoices and pays 900 AP bills. Its volume is 2,600, which fits tier M1 with a 3,000 ceiling. In November it books 4,200 orders. That one month breaks the 4,000 cap of M2 and lands in M3, which allows 5,000. The guide calls exceeding your tier in any month of the subscription year an out-of-compliance situation that may require a mid-contract tier increase.

For a finance team, the planning rule follows: size the tier on the seasonal peak, not the average. The busiest month of the last two years, plus the growth in the budget, is the number to give the partner. Acumatica provides a License Monitoring Console that shows consumption against the license, so the controller can watch the count during the year rather than discover it at renewal.

Editions, named users and the unlimited-user promise

Unlimited users belong to consumption licensing. Under named-user licensing, the guide caps enabled users by edition:

Edition Built for Named users included Maximum named users Web API connections included
Essentials Smaller organizations 5 10 5
Select Small businesses, typically up to 50 employees 10 30 5
Prime Lower mid-market, up to 200 employees 10 100 10
Enterprise Any size, with reserved resources 35 Unlimited 10

Two details change the budget. Select and Prime are sized on the assumption that fewer than half of employees use the system, with an even mix of regular and casual users. API connections are licensed separately from people, so an integration-heavy stack (a WMS, a tax engine, an e-commerce connector, a BI pull) can outgrow the included connections before it outgrows any user count.

Tenants are the third. One tenant holds unlimited legal entities that share customers, vendors, employees and the chart of accounts. A group that wants separate charts buys additional tenant packs, available from Select up, and the transaction count is measured across all tenants combined.

Reserved resources: the line most first quotes leave out

SaaS customers share a standard cloud environment unless they buy SaaS Reserved Resources. These add dedicated capacity, more parallel processing and higher system limits. Availability depends on the edition: Choice is optional on Select and Prime, Enhanced is optional on Prime and included on Enterprise, and Premium and Ultimate are Enterprise options.

The guide's recommended maximums show why this matters. Select with Choice is rated for 500 daily commercial transactions and 7 integrations, Prime with Enhanced for 1,000 and 20, and Enterprise's Premium and Ultimate levels make daily commercial volume scalable. A distributor running 4,000 orders in a peak month averages roughly 180 a working day, but a busy Monday can be several times that, so ask the partner to show which reserved-resource level the quote assumes.

The renewal rules a CFO should read twice

Acumatica caps renewal price increases at 10% a year, but order-form discounts do not carry into renewals. The Licensing Guide states both: renewal prices for SaaS and Private Cloud Subscriptions rise by no more than 10% a year from the prices on your current order form, and discounts listed on that form do not apply at renewal. The cap also excludes services, support and Marketplace products.

That creates a year-two step. Acumatica's offers page advertises up to 15% off the software subscription for new customers in its fourth-quarter offer. If you take the full 15% in year one and the list rises by the full 10% cap, the second year costs about 29% more than the first by our arithmetic (1.10 divided by 0.85). Negotiate the renewal language, not only the first-year price.

Three other rules shape the contract. Features can be added at any time but removed only at renewal. A resource level can be upgraded at any time and downgraded only at renewal. And after the first year, a SaaS subscription can be cancelled only at renewal, with 30 days' written notice, per the SaaS FAQ.

What 25 ERP users cost against printed prices

Take a 60-person distributor with 25 people in the ERP: 5 in finance, 8 in sales and 12 in the warehouse. Our arithmetic on list prices read October 21, 2026, license only:

Option Billing basis 25 users for a year At 50 users
Business Central Essentials $80 per user a month, paid yearly $24,000 $48,000
Odoo Standard $31.10 per user a month, billed yearly $9,330 $18,660
Odoo Custom (multi-company, Studio, API) $61 per user a month, billed yearly $18,300 $36,600
Acumatica APEX for Distribution Package from under $1,495 a month, including implementation and support Under $17,940 in year one Same package, if the tier and edition still fit
Acumatica standard subscription Quote by edition, tier and resources No list price Users add nothing on consumption licensing

The gap widens with headcount. Doubling users doubles the per-seat bills, while an Acumatica consumption license moves only if the transaction tier, edition or reserved resources must change. Business Central also sells an $8 Team Members license for lighter users, which narrows the gap if Microsoft's rights for that license cover your warehouse tasks.

The APEX row is a limited-time offer, not a list price for the subscription, and it bundles implementation, which the per-seat rows leave out. Treat it as a floor for a distribution company that fits the package. Acumatica also prints a manufacturing package from under $2,185 a month.

Five questions to put to the partner

  1. Which licensing method is this quote on? Consumption and named-user quotes are not comparable, and only the first carries unlimited users.
  2. Which transaction tier, and which month of our data set it? Hand over the busiest month of the last two years, not an average.
  3. Which reserved-resource level does the price assume? A quote without one runs on the shared environment and its lower limits.
  4. What does year two cost? Ask for the renewal figure in writing, since first-year discounts fall away and list can rise up to the 10% cap.
  5. What sits outside the subscription? Implementation, partner support, extra storage and Marketplace apps are billed separately. Our NetSuite implementation cost guide shows how large that services line can run on a comparable ERP project.

If the answers push the total beyond what the business can carry, the NetSuite vs Business Central comparison and the free ERP software roundup cover the printed-price and no-license ends of the market.

Who should ask for an Acumatica quote

  • Ask for a quote if headcount in the ERP will grow faster than order volume, as in distribution, construction or field service, where many people need occasional access.
  • Ask for named-user pricing as well if fewer than 10 people will ever use the system, since Essentials includes 5 named users and a small team may not benefit from paying for volume.
  • Price Business Central or Odoo first if your transaction volume is high but stable and only a few people use the ERP; a printed per-seat rate is easier to defend to a board. Our Business Central pricing and Odoo pricing pages break those down.
  • Compare with NetSuite if operations and multi-entity finance must sit in one system. Our NetSuite vs Acumatica page covers how the two vendors meter growth, and NetSuite pricing covers its license.

How we priced this

We read Acumatica's pricing page, SaaS FAQ, product editions page, offers page and its October 2025 Licensing Guide on October 21, 2026, together with the Business Central and Odoo pricing pages on the same day. Every Acumatica rule above comes from those documents. The 25-user table and the renewal example are our arithmetic, not quotes. We did not buy or run Acumatica. FAQ

How much does Acumatica cost in 2026?

Acumatica publishes no list price for its subscription. Partners quote it from the edition and modules, the monthly transaction tier and the deployment license. The only printed figures are limited-time APEX packages, from under $1,495 a month for distribution and under $2,185 for manufacturing, both including implementation and support, on Acumatica's offers page read October 21, 2026.

Why does Acumatica not charge per user?

Under transaction-tier consumption licensing, Acumatica prices the volume of business you run, measured as the highest monthly count among eight transaction types such as sales orders and AR invoices. Users are unlimited on that model. Acumatica also offers named-user licensing, where Essentials includes 5 users and Enterprise 35.

What is an Acumatica transaction tier?

It is the ceiling on your monthly Commercial Transaction Volume. The Licensing Guide lists 22 tiers, from S1 at 1,000 transactions a month to P3+ above 1 million. Exceeding your tier in any month of the subscription year is out of compliance and may require a higher tier mid-contract, so the busiest month sets the tier.

Does Acumatica raise prices at renewal?

Renewal prices can rise by up to 10% a year under Acumatica's Price Cap, and discounts on your order form do not carry into renewals. The cap does not cover services, support or Marketplace products, and it holds only if you do not reduce your edition, tier or user count.

Is Acumatica cheaper than Business Central?

It depends on headcount. Business Central Essentials costs $80 per user a month, paid yearly, so 25 users cost $24,000 a year in license fees. Acumatica's distribution APEX package starts under $1,495 a month with implementation included, but its standard subscription has no list price. The more people need access, the more consumption licensing tends to favor Acumatica.
