The Best Expensify Alternatives in 2026

Seven Expensify alternatives costed for 25 and 100 users, with the published USD rate, the free-tier limit and the catch that changes the total, checked on vendor pages in October 2026.

TL;DR

Zoho Expense Standard is the cheapest paid plan on this list at both headcounts. On yearly billing it costs $900 a year for 25 users, the lowest paid rate for a team that size. Expensify Collect costs $1,500 and $6,000 for the same two teams, and Expensify Control costs $5,400 and $21,600 before any card discount. Three tools carry no software fee, BILL Spend & Expense, Ramp Free and Brex Essentials, and each has a catch that decides whether it fits.

Pick the replacement by the reason you are leaving. Teams that want the lowest paid bill should start with Zoho. Teams that pay only for active filers should compare Sage Expense Management. Teams that want the card and the expense tool under one contract should compare Ramp and Brex, and travel-heavy teams should look at Navan.

Key facts7 tools compared: Zoho Expense, Ramp, BILL Spend & Expense, Brex, Sage Expense Management…
  • Updated: October 13, 2026
  • Top pick: Zoho Expense (best for: Teams of 25 to 100 people that want the lowest paid per-user rate and no ERP sync yet)
  • Top pick price as of October 13, 2026: Zoho Expense: Standard $3/user/mo billed yearly ($4 monthly); Free for up to 3 users; Premium costs more per user
  • 7 tools compared: Zoho Expense, Ramp, BILL Spend & Expense, Brex, Sage Expense Management (formerly Fyle), Navan Expense, Payhawk Cards & Expenses
  • Ramp (best for: Companies that will move card spend to Ramp and want expense tools with no per-user fee): Free with cards and expense, no per-user fee; Plus $15/user/mo plus a platform fee; 20% off with annual billing
  • BILL Spend & Expense (best for: AP-heavy teams that want corporate cards and expense from the same vendor they already pay bills with): Spend & Expense with no subscription or per-user software fee; AP and AR billed separately
  • Brex (best for: Teams that want a free card and expense stack now, and Premium once multi-entity policy matters): Essentials free per user with up to two entities; Premium $12/user/mo; Enterprise and Smart Card custom

Finance teams leave Expensify for three reasons: the per-member bill rises with headcount, approval rules outgrow the plan, or the card program moves to another provider. Expensify bills every unique member on Collect, and an annual Control subscription keeps its seat count until the term renews.

Replacing it means comparing unit prices, not list prices, so this page costs seven alternatives for two fixed teams of 25 and 100 people.

The wider field is in our expense management ranking.

Cfopresso data: Toolradar, the software directory we run, tracks 83 expense management tools as of October 10, 2026.

We costed the seven that publish a USD price on their own pricing page.

Methodology: we read each vendor's own US pricing page and Expensify's billing help article on October 10, 2026. Scenario totals multiply those published rates by 25 or 100 people who all file every month, before tax.

The totals are our arithmetic, not vendor quotes, and we did not test any of these products hands-on.

PricingStandard $3/user/mo billed yearly ($4 monthly); Free for up to 3 users; Premium costs more per user

+Standard at $3 per user a month on yearly billing costs $900 a year for 25 users and $3,600 for 100.
+Standard includes corporate card management, real-time card feeds for Visa and Mastercard, multiple expense policies and ACH payments.
+Standard also covers direct bank reimbursements, so employees without a corporate card still get reimbursed.
−ERP and HRMS integrations are a paid add-on that the pricing page does not price, so get a quote for your ledger before you switch.
−The Free plan covers three users, so a 25-person team is on a paid plan from day one.

Best for: Companies that will move card spend to Ramp and want expense tools with no per-user fee.

PricingFree with cards and expense, no per-user fee; Plus $15/user/mo plus a platform fee; 20% off with annual billing

+Free includes unlimited cards, expense completion by SMS or Slack, and automatic receipt collection and matching.
+Plus adds NetSuite and Sage Intacct sync, multi-entity support and AI coding, and annual billing takes 20% off the per-user price.
+Free also covers invoice extraction, configurable approval workflows and bill payment by ACH, card, check or wire.
−Plus is a per-user price plus a platform fee based on team size, so a 100-person Plus bill needs a written quote to be complete.
−Ramp describes Free as built for smaller teams, and NetSuite or Sage Intacct sync requires Plus.

Best for: AP-heavy teams that want corporate cards and expense from the same vendor they already pay bills with.

PricingSpend & Expense with no subscription or per-user software fee; AP and AR billed separately

+BILL's pricing page says Spend & Expense has no per-user fee and includes corporate cards, budgets and expense tracking.
+BILL's pricing page says adding cardholders does not change the software bill, so 25 and 100 people pay the same.
+Credit lines run from $1,000 to $5 million, subject to approval.
−BILL's product page says pricing depends on business needs and user count, which conflicts with the $0 pricing page, so get the no-fee terms in writing.
−BILL's accounts payable and receivable plans are separate subscriptions, and its Corporate AP tier costs $89 per user a month.

Best for: Teams that want a free card and expense stack now, and Premium once multi-entity policy matters.

PricingEssentials free per user with up to two entities; Premium $12/user/mo; Enterprise and Smart Card custom

+Essentials includes cards, reimbursements, bill pay, accounting integrations and travel booking at no per-user fee.
+Premium adds multi-entity across US and international entities, dynamic expense review chains and live budgets.
+Premium is the first tier with customizable ERP integrations, so a company that needs a NetSuite-style connector starts there.
−Essentials stops at two entities, one of them global, so a third entity forces an upgrade.
−Customizable ERP integrations sit on Premium rather than Essentials.

Best for: Finance teams that want to pay per active filer and sync to QuickBooks Online, Xero or Sage Intacct.

PricingGrowth $11.99 and Business $14.99 per active user/mo, both billed annually; minimums of 5 and 10 users

+Only users who create an expense or have a card with active transactions are billed, so a member who never files adds nothing to the bill.
+Growth covers unlimited expense tracking, real-time card feeds and two-way sync with QuickBooks Online and Xero.
+Business adds multi-stage approvals, US ACH reimbursements and two-way Sage Intacct integration.
−The Sage Intacct sync carries a one-time implementation fee on Business, and QuickBooks Desktop costs extra on both plans.
−Each paid plan has a minimum seat count, five users on Growth and ten on Business, so a smaller team still pays for seats it does not fill.
Visit Sage Expense Management (formerly Fyle) →

Best for: Travel-heavy companies with 300 employees or fewer that keep their existing cards and want travel and expense in one login.

PricingExpense free for the first 5 monthly expensing users, then $15/user/mo; travel booking free up to 300 employees

+Navan Expense connects existing corporate or business credit cards, so the card program does not have to move.
+Navan Business has no trip limit for companies of 300 or fewer employees, with round-the-clock travel support and self-serve changes.
+Receipt scanning works on the go, from the mobile app.
−Past five monthly expensing users, each one is billed, so a 100-person company that files every month pays $17,100 a year.
−The free Business tier applies only up to 300 employees, and above that Navan asks for a demo.
Visit Navan Expense →

Best for: Multi-entity finance teams that prefer one flat monthly price to per-seat charges.

PricingCards & Expenses from $449/mo with unlimited seats; AP ($349/mo) and travel ($299/mo) are separate modules

+The price is the same for 25 people and for 100, which puts it below Expensify Collect at 100 users ($6,000 a year).
+Every module includes unlimited employee seats, card transactions and document processing, and it works with any credit card program.
+Integrations cover ERP, accounting and HR systems, and Payhawk names Xero, QuickBooks Online and Exact Online as live accounting syncs.
−The Cards rate is a starting price, and AP starts at $349 a month on its own, so Cards plus AP starts at $798 a month before any add-on.
−Only Xero, QuickBooks Online and Exact Online are named as live accounting syncs, so a NetSuite shop has to confirm support before it signs.

What it is

An Expensify alternative is a platform for receipts, expense reports, approvals and reimbursements, and several also issue corporate cards, and our corporate cards ranking covers that side.

The options here differ on three things that change the bill: the billing unit (per user, per active user, per monthly expensing user, or flat), whether a card comes with the software, and how deep the ledger sync goes. Price them on those three before you compare features.

Why it matters

Expensify's price turns on two rules people miss. Collect bills every unique member of the workspace, so an invited person who never files still costs $5 a month. Annual Control bills every seat in the subscription size whether or not the seat is used, and the size cannot drop until the 12-month term renews.

Those rules reward a team that knows its real headcount, so clean the roster before you compare any replacement.

The card matters too. The Control rate falls by up to 50 percent as the share of approved USD spend on the Expensify Card rises.

A replacement that does not carry the same card volume gives up part of that saving, so price the card rules into the switch, not after it. Our Expensify pricing guide works through the Collect and Control rules in full.

Key features to look for

Billing unit
Per unique member (Expensify Collect), per seat (Zoho, Ramp, Brex), per active user (Sage Expense Management), per monthly expensing user (Navan), or flat across unlimited seats (Payhawk). The unit sets the bill more than the list rate does.
Free-tier limit
Zoho's Free plan stops at three users. Brex Essentials covers up to two entities. Ramp Free has no NetSuite or Sage Intacct sync. BILL's no-fee tier carries credit lines that are not guaranteed.
ERP sync depth
Ramp Plus lists NetSuite and Sage Intacct, Brex Premium lists customizable ERP integrations, and Sage Expense Management adds Sage Intacct on Business with a one-time fee. Payhawk names Xero, QuickBooks Online and Exact Online as its live accounting syncs.
Card placement
Expensify's Control rate falls with card volume, by up to 50 percent. Ramp, Brex and BILL bring their own corporate cards. Navan connects the cards you already hold, so the card contract stays where it is.

Pricing

Expensify's USD rates come from its billing help article: Collect at $5 per unique member a month, and Control at $18 per member on an annual subscription, plus $36 per active member above the subscription size.

Those two rates are the baseline in the table below.

Each alternative is read on its own US pricing page: Zoho Expense, Ramp, Brex, BILL, Sage Expense Management (formerly Fyle), Navan and Payhawk, all read on October 10, 2026.

Spendesk is not costed because its pricing page asks for a free quote, and SAP Concur is covered in our SAP Concur review.

Read the table by headcount, not by sticker price, and see our Ramp alternatives for the Ramp side of the comparison.

At 25 users, Zoho Standard saves $600 a year against Collect, and at 100 users it saves $2,400. Those savings assume the same features, and Collect's features and Zoho Standard's do not line up one for one, so check each one against your current process before you move.

Mistakes to avoid
×Comparing a per-user price with a platform fee, or a free tier with an add-on, without a written quote at your real headcount.
×Signing a replacement before you know the Expensify renewal date, because an annual Control seat count cannot drop until the term renews.
×Cutting over in close week, so reimbursements and card receipts land in two systems inside the same accrual.
Expert tips
→Prune the Expensify roster before you price anything. Collect bills every unique member, including people who never file.
→Ask each vendor for a written price at your exact headcount, and ask which ERP connector your ledger needs and whether it is an add-on or a one-time fee.
→Export GL codes, categories, tax fields and open reimbursements, load them into the new tool, and reconcile one month before cutover.

The bottom line

Zoho Expense is the cheapest paid switch on published prices, and Ramp Free, Brex Essentials or BILL Spend & Expense is the no-fee route if your cards can move with it.

Pick Sage Expense Management when approvals and Sage Intacct matter more than price, Navan when travel comes with expense, and Payhawk when you want one flat price that does not grow with headcount, though it costs more than Zoho at both sizes.

Compare the category on Toolradar's expense management ranking, and check the profiles for Zoho Expense, Navan and Payhawk before you request quotes.

Frequently asked questions

What is the cheapest Expensify alternative for 25 people?
Zoho Expense Standard is the cheapest paid option on this list at $900 a year for 25 users on yearly billing, against $1,500 a year for Expensify Collect. BILL Spend & Expense, Ramp Free and Brex Essentials have no software fee, each with a limit on the free tier. Prices were read on vendor pages on October 10, 2026.
How much does Expensify cost for 100 people?
Collect costs $5 per unique member a month, so 100 people cost $6,000 a year, and annual Control costs $21,600 before any card discount. The Control rate falls by up to 50 percent as approved USD spend moves onto the Expensify Card.
Is there a free Expensify alternative?
Yes, with limits. BILL's pricing page lists Spend & Expense with no per-user fee, Ramp Free covers cards, expense and QuickBooks Online or Xero sync with no fee, and Brex Essentials costs nothing up to two entities. Ramp Free has no NetSuite or Sage Intacct sync, and BILL's credit lines are not guaranteed.
Is Zoho Expense cheaper than Expensify Collect?
Yes on the published rates. Zoho Standard on yearly billing undercuts Collect by $600 a year at 25 users and by $2,400 at 100. The gap narrows once you add Zoho's ERP add-on, which Zoho's pricing page does not price.
Which Expensify alternative has a flat price?
Payhawk Cards & Expenses is flat at a starting $449 a month, which is $5,388 a year with unlimited employee seats, whether the team has 25 people or 100. AP and travel are separate modules, so Cards plus AP starts at $798 a month.
How do I switch from Expensify without breaking the close?
Time the switch to your Expensify renewal, export GL codes, categories and open reimbursements, load them into the new tool, and run both systems through one full close before you cancel. Keep the card reissue on a separate date from the close.
