Ramp vs Zoho Expense 2026: Costs and Controls
Compare Ramp and Zoho Expense on US subscription prices, card eligibility, receipt limits and the controls a finance team needs.

For three users, both Ramp Free and Zoho Expense Free list a $0 software subscription. For 10 users on Zoho Standard, the published monthly user charge is $40; Ramp Plus is $150 in user charges plus an undisclosed platform fee. Ramp Free is available only to eligible businesses, while Zoho's free plan caps users at three.
These are US list prices checked October 28, 2026 on Ramp's pricing page and Zoho Expense pricing. The plans do not have identical capabilities. Card transaction costs, bill payments, taxes, travel and add-ons are outside the software examples. The choice depends on whether the business needs a card program, receipt reporting, ERP controls or a combination.
Toolradar data: Toolradar, the software directory we run, displayed 89 tools evaluated on its expense management category page, checked October 28, 2026. The displayed category snapshot was dated October 25. That count describes the directory, not the sample in this two-product comparison. The Ramp profile and Zoho Expense profile profiles offer further context.
At a glance
| US plan | Subscription | Scope and limit to check |
|---|---|---|
| Ramp Free | $0 per user per month | Corporate cards and core expense tools for approved businesses; other service fees may apply |
| Zoho Expense Free | $0 | Up to three users; 20 receipt autoscans per user per month |
| Zoho Expense Standard | $4 per user per month, or $3 per user per month billed annually | A minimum of three subscribed users; 200 autoscans per user per month |
| Zoho Expense Premium | $6 per user per month, or $5 per user per month billed annually | Advanced controls and multi-entity features; 1,000 autoscans per user per month |
| Ramp Plus | $15 per user per month plus a platform fee based on team size | Additional automation and ERP integrations; request the platform fee in writing |
| Ramp Enterprise | Custom, annual billing | Quote and implementation scope required |
Ramp advertises a 20% annual billing saving on Plus, but its page does not state the platform fee for each team size. Do not calculate a final Plus total from the seat rate alone. Zoho's annual figures require an annual commitment. Both providers may charge separately for services outside the subscription, and an application is not an approval.
What does a 10-person subscription cost?
Assume 10 subscribed users, monthly billing and no taxes, integrations, travel or optional products. Ramp's billable roles and Zoho's active-user rules need to be checked for the specific team.
| Plan | Calculation | Monthly subscription in this scenario |
|---|---|---|
| Ramp Free | 10 × $0 | $0, subject to eligibility |
| Zoho Expense Standard | 10 × $4 | $40 |
| Zoho Expense Premium | 10 × $6 | $60 |
| Ramp Plus | 10 × $15 plus platform fee | $150 plus an unquoted platform fee |
The $40 and $60 figures assume 10 subscribed Zoho users. Zoho's subscription guide says paid Standard and Premium plans require at least three subscribed users. It also says you pay for subscribed users even if fewer are active in a month. Exceeding the subscribed active-user count can create extra charges: review Zoho's pricing models and confirm which model the quote uses.
For a company that qualifies, Ramp Free has no per-user software charge on the published page. That is not a guarantee of credit approval or a price for all payment methods. A 10-user Plus quote needs the seat calculation, platform fee and any optional modules, with the number of billable users defined. See Ramp's billing policy for how it describes eligible users and prorating.

Can the business actually use Ramp?
Ramp's US application requirements say an applicant must be a US-registered corporation, LLC or limited partnership, have a physical US address, and have at least $25,000 in cash in a linked US business bank account. The page also requires an EIN and says most operations and corporate spending must be in the US. It excludes individuals, sole proprietors and other unregistered businesses from that application category.
Those are published application criteria, not a promise of approval or a credit limit. Before relying on Ramp Free, a controller should check the current requirements, the accounts the business is comfortable linking and the final terms. A business that does not meet those requirements cannot use the $0 subscription as a meaningful substitute in its budget.
Zoho lists an expense reporting product and its own prepaid card option. Its pricing page describes tracking expenses on personal cards and, on Standard, corporate card management and card feeds. Confirm which card feeds, countries and reimbursement arrangements apply to your organization rather than assuming they mirror Ramp's card product.
Receipts, reports and employee reimbursements
Zoho lists 20 autoscans per user per month on Free, 200 on Standard and 1,000 on Premium. The company says expenses can still be created manually or receipts uploaded after the automatic scan limit is reached. That distinction matters for a small team: hitting the scan allowance is a workflow change, not proof that the entire expense product stops working.
For three users each needing 20 automatic scans, the Free plan's stated per-user allowance covers that number. A fourth user exceeds the published user cap. If each of 10 subscribed users needs 100 automatic scans, Standard's listed allowance is sufficient per user in that scenario, at the subscription calculation above. Confirm how unused quota, extra users and billing apply before purchasing.
Ramp's pricing page lists automatic receipt collection and matching on Free. It does not provide a comparable scan allowance in the information used here, so this comparison does not claim Ramp has unlimited scans. Ask for the exact receipt policy, accepted sources and exception handling in the account. The Ramp review provides additional context on its card-centered workflow.
Which accounting system receives the data?
Ramp Free's pricing page names QuickBooks Online and Xero integrations; Plus names NetSuite, Sage Intacct and further ERP connections. Zoho lists accounting integrations on Free and says ERP and HRMS integrations are an add-on on Standard. A logo or category label alone does not establish the fields, direction of sync, legal entities or implementation fees that a particular business needs.
Ask each vendor to show how an approved expense becomes a ledger entry, whether receipt images accompany it, and how the system handles a changed cost center or rejected report. Confirm the specific connector and subscription tier in the order form. The QuickBooks Online review, Xero review, NetSuite review and Sage Intacct review explain those ledger choices separately.
A reimbursement and a supplier bill are not the same workflow. The AP automation guide and accounts payable checklist help identify which approvals and records belong in each process. Do not assume an expense subscription includes every payment rail or AP module at no extra charge.
Where extra cost can appear
Platform charges. Ramp Plus has a published per-user rate and a separate team-size-dependent platform fee. The actual quote must name both. A seat-only total is an incomplete estimate, even if the team knows its headcount.
Paid user definitions. Ramp's billing policy says some roles count and others do not; it specifically excludes pending and deactivated users, guests and users assigned by an accounting firm. Zoho distinguishes subscribed and active users. Ask each provider how approvers, administrators and occasional submitters are billed before using the same headcount in a contract comparison.
Payment methods. Ramp's pricing overview says Bill Pay fees vary by payment method and identifies a Ramp Checking exception for eligible transactions. Check the current fee schedule and account terms. A zero-dollar software plan does not establish that each wire, check or other payment is free.
Support and implementation. Zoho lists optional premium support and onboarding products at additional prices. ERP and HRMS integrations may also be add-ons. Ramp Enterprise is custom-priced and includes implementation services in its published description; ask whether the desired setup work is included on any other plan.
Annual versus monthly billing. Zoho displays different rates by billing term and Ramp advertises a Plus annual saving. Compare the written full-term commitment, renewal, platform fee and the number of billable people, not only the lowest monthly equivalent.
Which should a CFO choose?
Choose Ramp Free when the business meets the card program's eligibility requirements and its published card, expense and accounting features meet the team's needs. For advanced ERP or multi-entity controls, obtain a complete Plus or Enterprise quote before comparing it with another paid plan.
Choose Zoho Expense when the team wants a standalone expense workflow with a published per-user price and the listed integrations fit. The three-user Free tier can suit a small group within its scan allowance; a 10-user Standard subscription has a $40 monthly list-price calculation before extras. Check the exact employee, card and reimbursement workflow before rollout.
