QuickBooks Online vs Zoho Books 2026: Plans Compared

Compare QuickBooks Online and Zoho Books US pricing, user limits, invoice allowances and accounting features for a three-person finance team.

Zoho Books dashboard showing receivables, payables and a cash flow chart

For a US finance team needing three users, Zoho Books Standard costs $20 per organization per month and QuickBooks Online Essentials costs $85 per month at regular monthly rates checked October 28, 2026. Zoho is the lower subscription price in that scenario. Decide whether its invoice allowance and workflows fit before treating the $65 monthly difference as a saving.

The estimate excludes promotions, tax, payment processing, payroll and add-ons. Zoho Standard supports expenses but not vendor bills; Zoho's comparison places bills on Professional and above. For a team managing supplier invoices, the two plans in this headline scenario are not feature-equivalent. Essentials explicitly includes access for two accountants in addition to its three users; confirm how Zoho's accountant access is counted for the organization. Plans are not identical. Prices and features below come from Intuit's US pricing page, Zoho Books' US pricing page and Zoho's plan comparison.

Toolradar data: Toolradar, the software directory we run, showed 286 accounting tools evaluated on its accounting category page on October 28, 2026; the displayed snapshot was dated October 27. That is the size of the directory category, not the sample used to rank these two plans. See the directory profiles for QuickBooks and Zoho Books.

Zoho Books Standard $20 per organization per month, or $15/month billed annually Three users 5,000 invoices a year; expenses supported but vendor bills require Professional
Zoho Books Professional $50 per organization per month, or $40/month billed annually Five users 10,000 invoices a year, with inventory and multi-currency tools
QuickBooks Online Free $0 per month One user No accountant access; upgrading adds it
QuickBooks Online Simple Start $38 per month One user, with access for two accountants Separate charges can apply to payments and payroll
QuickBooks Online Essentials $85 per month Three users, with access for two accountants Includes more users than Simple Start; check bill-pay allowances

Intuit's page showed an introductory discount when checked. The table uses the regular rate because a temporary offer does not describe the steady-state budget. Zoho's annual figures require annual billing and should not be compared as if they were a month-to-month commitment. Confirm current plan terms before checkout.

What does a three-user year cost?

A business with three named users, one organization and a need for no optional products would pay the following regular subscription prices. The scenario assumes the plan's features and invoice capacity fit; it does not include any card processing, payroll, taxes or accounting services.

Plan and billing Monthly equivalent Twelve-month subscription
Zoho Books Standard, monthly $20 $240
Zoho Books Standard, annual $15, billed annually $180
QuickBooks Online Essentials, monthly $85 $1,020

Using monthly billing for both, the difference is $65 per month and $780 over 12 unchanged months. Zoho's annual Standard price is $180 for a year at the displayed rate, but it has a different billing commitment. An actual quote must also cover the users who need accountant access and any features the finance team cannot do without.

A company that only needs one user can look at lower entry plans. Zoho's Free plan allows one user and one accountant but requires revenue not to exceed the stated $50,000 financial-year threshold. QuickBooks Free lists one user and no accountant access. Neither free plan should be assumed to have every feature of the paid tiers. For the individual products, see the QuickBooks Online review and Zoho Books review.

Which plan fits the invoice volume?

Zoho's plan comparison lists 1,000 invoices per year on Free, 5,000 on Standard and 10,000 on Professional. A company expecting 6,000 invoices should not budget on the Standard allowance without asking Zoho about its options. Professional's listed monthly rate would be $50, or $600 over 12 months at an unchanged monthly rate, before add-ons. The published feature list also places multi-currency transactions and inventory on Professional.

An annual cap makes the full-year forecast more useful than last month’s invoice count. Ask the billing team for the expected number of customer invoices for the year and whether credit notes, recurring invoices or imported records count against the relevant allowance. The source table states the limit but does not answer every edge case.

Intuit describes invoicing and payment collection on its pricing page. Check the volume and payment terms for the account being considered, including any third-party payment or bank-transfer charges. A ledger subscription and the cost to receive customer money are separate line items. The billing software guide is a starting point for teams whose payment requirements are more complex than the ledger's plan table.

Users, accountants and growth

Intuit says Essentials supports three users and access for two accountants. Simple Start lists one user and the same accountant access. QuickBooks Free lists one user with no accountant access, so an owner who wants their external accountant to collaborate needs to check a paid plan. Three seats alone do not establish whether every person can do the same work; review permissions and the accountant role before migration.

Zoho Standard lists three users and Professional lists five. Its pricing page also lists additional users at $3 per user per month, or $2.50 per user per month billed annually; add-ons are not supported on Free except document autoscans. A team needing four users could ask whether Standard plus one additional user supplies its permissions and workflow, rather than assuming a plan upgrade is the only option. Using the listed monthly add-on price, that subscription would be $23 per month before other costs. Confirm eligibility and accountant access for the specific organization.

The Xero review gives another perspective on accounting subscriptions, and Xero vs QuickBooks Online compares a different user-pricing model. Those guides answer related questions; the calculations here use only the two plans named above.

Cash flow, inventory and approvals

Zoho lists bank reconciliation on Free and bank feeds on Standard. Professional adds sales and purchase orders, inventory, multi-currency transactions, project profitability and sales and purchase approvals. Premium adds budgeting and cash-flow forecasting. Those labels help narrow a quote, but a finance team should ask to see its own approval route and report before treating a feature list as proof of a fit.

QuickBooks describes income and expense tracking, invoicing and bill pay across its plans, with the plan comparison showing differences by tier. Its pricing page lists monthly allotments for standard ACH bill payments and states a $0.50 charge per transaction over an applicable allotment. The allotment can vary, so ask for the amount on the plan and count the payment rail in the budget. A subscription comparison that omits bill-payment activity can make the cheaper-looking option more expensive for a particular team.

For an approval checklist, read what AP automation covers and the accounts payable checklist. For teams with a separate expense workflow, the expense management software guide can help define what must connect to the ledger.

Costs beyond the headline

Payments. Online payments have their own provider terms. Review card and bank rates for the actual business, including refund and cross-border terms, rather than adding a guessed processing percentage to either subscription.

Payroll. Payroll is an optional purchase on Intuit's pricing flow. A finance team should get a quote for its employees and states rather than assuming it is included in the ledger price. Our QuickBooks Online pricing guide explains the subscription choices in more detail.

People and entities. Zoho prices its plans per organization and lists paid extra users. QuickBooks publishes user allowances by plan. A second organization, a permission requirement or accountant access can alter the practical cost. Ask each vendor for the full set of accounts and organizations before comparing totals.

Billing term. Zoho's lower Standard equivalent is billed annually. Intuit's page may show a short promotion alongside the regular price. Check duration, eligibility and renewal terms on the purchase screen. The scenario above deliberately compares normal month-to-month prices.

Migration. Both ledgers need a reconciled opening balance, chart of accounts, customer and vendor records, and a plan for historical invoices. Assign a person to review the import and the first bank reconciliation. The subscription does not cover that work.

Which should a CFO choose?

Choose Zoho Books Standard when three users, the annual invoice allowance and its stated features fit the organization. If the team needs to record vendor bills, Zoho's comparison places that feature on Professional and higher, so compare the Professional price and capabilities instead. Its regular subscription is $65 lower per month than Essentials in the stated scenario. Check accountant access, bank feeds and any required add-ons before signing.

Choose QuickBooks Online Essentials when its three-user plan, accountant access and the finance team's existing QuickBooks workflow are worth the higher list price. The published price does not by itself establish that it is cheaper or more capable for every company. Test the required approval, reporting and migration steps with the vendor before committing.

A company that outgrows a single ledger should also map entity reporting separately. The NetSuite review and Sage Intacct review cover platforms aimed at a different level of complexity; neither is priced into this comparison.
