Best Tools for a First Finance Hire 2026

The ledger, payroll, cards, cap table and cash forecast one new finance hire runs for a 12-person company, with list prices from October 2026.

TL;DR

For 12 employees in one state, the software a first finance hire can run alone costs $261 a month on list, or $3,132 a year, before payment fees. That is QuickBooks Online Plus at $140 a month, Gusto Simple at $49 a month plus $6 a person, and Ramp Free for cards and bills. Carta Launch adds the cap table at no charge only if the company is at or under 25 stakeholders and has raised at most $1,000,000.

Buy the ledger, payroll and a way to pay vendors before any planning suite, because a forecast cannot close the books, run payroll or pay a vendor. Float, Melio, Puzzle, Expensify and Pilot are the swaps, and each one belongs on the bill only when that hire's actual week needs it.

  • Ramp (best for: Cards, expenses and bill pay while the books stay on QuickBooks): Free, no per-user fee; Plus $15/user/mo plus a platform fee by team size

The first finance hire fails when the founder buys a planning platform and leaves payroll in a spreadsheet.

The job is the close, payroll and vendor payments, and a board pack can wait until those three produce a number someone can defend.

CFOpresso data: Toolradar, the software directory we run, evaluated 279 accounting tools on its accounting ranking, updated October 15, 2026.

The same directory's payroll ranking evaluated 74 payroll tools.

We priced that core for 12 employees in a single US state, from vendor list prices read on October 17, 2026.

The 25-person version of the question, where seat fees start to dominate, is on our Series A finance stack page.

How the ledgers differ once the company is larger sits in the accounting software ranking.

Top Pick

QuickBooks Online

The plan that fits a founder, the hire and one operator, with the CPA on an accountant seat.

Pricing
Plus $140/mo ($70/mo for 3 months) for 5 users and 2 accountant seats

Best for: The ledger a first hire and the outside CPA both work in

Pros

  • Plus includes 5 users and 2 accountant seats, so the CPA does not consume a company login.
  • Plus adds budgets, project profitability, inventory, and classes and locations up to 40, so one person can tag spend before a planning tool.
  • Paid plans include ACH bill pay, then a per-payment charge after a monthly allotment that can vary.

Cons

  • The lower rate on each paid plan lasts three months, then the list price is what you pay.
  • A sixth company user does not fit on Plus, and Advanced is the plan that allows 25 users, with no extra user fees.
2 Gusto logo

Gusto

The payroll system this hire can run in one state, billed per person on top of a base fee.

Pricing
Simple $49/mo + $6 per person; Plus $80/mo + $12; Premium $180/mo + $22

Best for: Payroll for a one-state team that has no HR department

Pros

  • Every plan includes unlimited payroll runs, plus tax filings and payments.
  • Billing is month to month, and you can cancel any time, which suits a company still deciding who runs payroll.
  • Gusto connects to QuickBooks, so payroll can post into the ledger.

Cons

  • Simple runs payroll in one state, and multi-state payroll is a Plus feature, so a second state changes the price.
  • US contractors are billed at the plan's per-person rate in any month you pay them, so those months bill like added headcount.
3 Ramp logo

Ramp

The spend layer with no software fee, and with QuickBooks sync on the free tier.

Pricing
Free, no per-user fee; Plus $15/user/mo plus a platform fee by team size

Best for: Cards, expenses and bill pay while the books stay on QuickBooks

Pros

  • Free includes unlimited cards, invoice capture, approval workflows, and bill pay by ACH, card, check or wire.
  • QuickBooks Online and Xero sync sit on Free, so this stack does not need Plus to reach the ledger.
  • 1099-NEC and 1099-MISC filing is $0.65 per IRS form, and state filing is free.

Cons

  • Standard ACH is $0.59, same-day ACH is $10, and a standard check is $1.99, unless the payment is funded from a Ramp checking account.
  • Plus is $15 a user before a platform fee Ramp does not publish, and that is where budget-versus-actuals and NetSuite sync sit, so skip it on QuickBooks.
4 Carta logo

Carta

Free equity admin for a small cap table, and no public price once the company leaves that box.

Pricing
Launch is free under 25 stakeholders and $1,000,000 raised; paid plans have no list price

Best for: A cap table that is still inside Carta's free-tier caps

Pros

  • Launch includes cap table management, SAFE modeling, and SAFE fundraising and closings.
  • Electronic securities, online option exercise and 83(b) forms are on the free tier, so early exercises do not need a paid plan.
  • Launch includes email, chat and phone support, so the free tier still has someone to ask.

Cons

  • The plan card allows up to 25 stakeholders, the FAQ on the same page says under 25, and raising more than $1,000,000 ends the free tier either way.
  • 409A valuations are included with Grow, not with Launch, so a valuation this year means leaving the free plan.
5 Float logo

Float

Cash forecasting for one QuickBooks or Xero company, if revenue is still under the plan's line.

Pricing
Small Business $130/mo, or $105/mo billed annually, below £2m in revenue

Best for: A 13-week cash view once the board asks for it every week

Pros

  • Small Business includes a 13-week cash flow, forecasts out to 12 months, 8 scenarios and unlimited users.
  • It syncs with QuickBooks and Xero, so the forecast follows the ledger already chosen for this stack.
  • The trial is 14 days and does not ask for a credit card, so the hire can try it before it bills.

Cons

  • The plan is for companies below £2m in revenue, and over that line the company is on Growth rather than Small Business.
  • Guided onboarding is a £99 one-off, priced in pounds, while Growth includes onboarding, so setup help can erase the savings.
6 Melio logo

Melio

A bill-pay account that does not require a new corporate card.

Pricing
Go is free, 5 ACH a month then $0.50; Core $25/mo + $10 per extra user

Best for: Bill pay from the company bank when a card program is declined

Pros

  • Go has no subscription fee and includes 5 ACH payments a month, and a weekly bill run will outgrow that allowance.
  • Core adds QuickBooks Online sync, batch payments, approval workflows and 20 ACH payments a month.
  • Core is free for the first 90 days, then the monthly rate starts, so the fee belongs in the budget.

Cons

  • Go allows up to 10 QuickBooks or Xero syncs, which a weekly close can use up.
  • Checks are $1.50, and ACH after the free monthly allotment is an extra fee.
7 Puzzle logo

Puzzle

A startup ledger with a 5-seat plan under the QuickBooks Plus list price.

Pricing
Core $72/mo for 5 seats; Complete $120/mo, unlimited seats; yearly saves 20%

Best for: A QuickBooks replacement if the CPA will leave that ledger

Pros

  • Core is the plan Puzzle calls a QuickBooks replacement: 5 seats, plus cash, burn, runway and margin.
  • Complete adds classes, departments, projects and revenue recognition, and seats are unlimited, which is more than a first close needs.
  • Yearly billing saves 20%, worth taking only once the CPA has agreed to leave QuickBooks.

Cons

  • Starter is one seat, so the founder and the hire cannot both have a login on it.
  • Core with a reviewer, for up to $10,000 a month in expenses, is $171 a month and includes the software.
8 Expensify logo

Expensify

Per-person expense software for a team that will keep its existing cards.

Pricing
Collect $5 per unique member/mo, pay-per-use; Collect has no annual plan

Best for: Receipts on a bank card the company is not ready to replace

Pros

  • Collect bills pay-per-use, so a quiet month costs less than a month when everyone files a receipt.
  • A free Submit workspace exists for one person, and it does not include approvals, payments, company cards or accounting integrations, so it cannot serve the whole company.
  • An annual subscription exists on Control, not on Collect, so Collect cannot be prepaid.

Cons

  • At $5 per unique member, 12 people submitting expenses are $60 a month, while Ramp's free tier collects receipts with no per-member software fee.
  • Workspaces whose first workspace was created before April 1, 2025 stay on legacy Collect pricing, which bills active members, so a quiet month is not cheaper.
9 Pilot logo

Pilot

Outsourced cash-basis books for companies under a monthly expense cap.

Pricing
Essentials $99/mo, cash basis, up to $100,000 in monthly expenses

Best for: A cash-basis close when the hire should not also keep the books

Pros

  • Essentials covers cash-basis bookkeeping from bank and card data, a standard chart of accounts, and a year-end package for the tax preparer.
  • The plan includes in-app answers on past transactions and on cash.
  • Support on Essentials is in-app messaging, so there is no named bookkeeper.

Cons

  • Accrual books, a US-based bookkeeper, and bill management for up to 10 vendor bills a month sit on Core, which does not publish a fixed list price.
  • Essentials does not replace the ledger the CPA already uses, so that ledger stays on the bill too.

What it is

A first-finance-hire stack is the software one person uses to close the books, run payroll, pay vendors and report cash before a second finance seat exists.

Why it matters

The monthly bill follows headcount on payroll and stays flat on the ledger.

Gusto charges a base fee plus a rate for each person, so the new finance hire adds a payroll line as well as a salary.

QuickBooks Plus is a flat plan for 5 users, which covers a founder, the hire and one operator, with accountant access on top.

Ramp's free tier has no per-user software fee, and the cost shows up per payment only when the payment does not come from a Ramp checking account.

What it costs to hand the close to a bookkeeper instead is in what bookkeeping costs for startups.

Key features to look for

One operator
The hire closes, pays people and pays vendors without a second finance seat, so skip a system built for a larger finance team.
Ledger the CPA will open
Plus includes two accountant seats, so the outside CPA can work in the file without taking one of the five user seats the company is paying for.
Payroll that matches the map
Gusto Simple is built for one state, and the first employee in a second state is a plan change rather than a setting.
A free tier with a wall
Carta Launch, Ramp's software tier and Melio Go are free only inside a cap: amount raised, payment method, or how many times the books sync, and crossing that cap starts the bill.

Pricing

Methodology: We priced one finance hire, 12 employees, one US state, and 15 standard ACH vendor payments a month. Every figure is a list price from the vendor page linked below, checked on October 17, 2026.

A plan with no fixed number is left uncosted.

The core arithmetic uses monthly list prices and ignores the three-month ledger discount. QuickBooks Plus at $140 a month is $1,680 a year.

Gusto Simple is $49 plus $6 for each of 12 people, which is $121 a month and $1,452 a year, and that line grows with the next hire.

Ramp's software fee is nothing on the free tier.

The three lines are $3,132 a year, or $261 a month, before a forecast, a second ledger or an outsourced close.

Carta Launch adds nothing while the company is inside the caps on its plan page.

The first year is cheaper if you take the ledger discount and then revert, and that lower year should not be copied forward.

Three months at $70 and nine months at the Plus list price come to $1,470, so the core is $2,922 in year one.

Fifteen standard ACH payments a month at $0.59 come to $106.20 a year when they are not funded from a Ramp checking account, which takes the list-price year to $3,238.20.

Pay those bills from a Ramp checking account and that fee line drops off, which is the version of this stack to aim for.

Swapping a layer moves the bill by more than the headline. Puzzle Core at $72 a month is $864 a year, $816 under the Plus ledger line, and only if the CPA will work there.

Melio Core's monthly fee covers 20 ACH payments, so 15 bills fit inside the allotment, against Ramp's $106.20 fee line.

Expensify Collect for 12 submitters is $60 a month, $720 a year, the cost of keeping the old cards. Float Small Business at $130 a month adds $1,560 a year and takes the core to $4,692, once the board wants cash every week.

Pilot Essentials at $99 a month is $1,188 a year for a cash-basis close, and the hire still needs a ledger.

Mistakes to avoid
×Treating Carta Launch as free after the raise crosses the cap backfires, because the free tier needs both the stakeholder test and the amount-raised test.
×Calling Ramp free after you have scheduled vendor payments from an outside bank misses the real cost. The software fee is zero, and the ACH and check fees remain unless a Ramp checking account funds them.
×Inviting a sixth person into QuickBooks Plus forces a plan change, because that plan stops at 5 users and the CPA should be on an accountant seat so they are not one of the five.
Expert tips
→Get a yes or no on Ramp card approval before you tell the team the bank cards are going away. Expensify is the receipt path if the answer is no.
→Put the CPA on a QuickBooks accountant seat the week the hire starts, so you are not buying Advanced to make room for them.
→If anyone on payroll lives in a second state, reprice Gusto on Plus before that first payroll run, because Simple will not cover that employee.

The bottom line

For 12 people in one state, QuickBooks Online Plus, Gusto Simple and Ramp Free are the stack a single finance hire can run, at $3,132 a year on list before payment fees. Carta Launch belongs in that stack only while the cap table is still inside the free tier.

Float, a second bill-pay tool, a second ledger and an outsourced close are decisions for the week the first three are already producing a close.

Where agents fit around the close, without replacing it, is in our note on AI agents for finance.

Frequently asked questions

What tools does a first finance hire need in 2026?

Start with QuickBooks Online Plus, Gusto Simple and Ramp Free, the ledger, one-state payroll, and cards plus bill pay, at $261 a month on list for 12 employees before payment fees. Add Carta Launch if the cap table is still inside the free tier, and add Float, Melio, Puzzle, Expensify or Pilot only for the job the first three do not cover.

How much does the software cost for 12 employees?

On monthly list prices the core is $3,132 a year: the Plus ledger, Gusto Simple at its base fee plus the per-person rate, and Ramp with no software fee. The three-month ledger discount lowers the first year and should not be reused after it ends. Standard ACH fees sit on top unless those bills are funded from a Ramp checking account. Carta is extra only after the company leaves Launch.

Is Ramp's free plan enough for this hire to pay vendors?

For a company on QuickBooks, yes, as the starting point, because Free includes bill pay and the QuickBooks sync. You still pay $0.59 per standard ACH and $1.99 per standard check when the money does not come from a Ramp checking account, and same-day ACH is $10. Plus, at $15 a user before the platform fee, is the tier for budget versus actuals and for NetSuite, and a QuickBooks company can skip it.

When does Carta stop being free for this company?

Carta stops being free past the stakeholder cap on the plan card, or once the raise passes the Launch cap, and missing either test ends the free tier. Paid plans do not publish a dollar price and bill per stakeholder with a minimum annual fee, so that line waits on a quote. A 409A is included with Grow, so a valuation this year is a paid plan.

Can Puzzle replace QuickBooks for a company's first finance hire?

Puzzle replaces QuickBooks only if the CPA agrees to close there. Core is $72 a month for 5 seats and is the plan Puzzle calls a QuickBooks replacement, at $864 a year against the Plus ledger's yearly list. Complete is $120 a month with unlimited seats, more than a first close needs. The catch-up and migration fees are separate, and Starter's single seat will not hold the hire and the founder.

Does the hire need a separate bill-pay or expense tool?

Not on day one if Ramp approves the card, because Free already collects receipts and pays vendors. Melio is the path when the company will pay from its own bank: Core is $25 a month and includes 20 ACH payments. Expensify Collect is the path when the old cards stay, billed per unique member. Either one is a second system, so buy it because the card decision failed, not beside a working Ramp account.
