  • Prices as of: November 2026
  • 5 plans compared: Navan Business, Navan Enterprise, Expensify Collect, Expensify Control, annual, Expensify Control, pay-per-use
  • Navan Business (best for: Companies up to 300 employees that book travel): Travel free; expense free for 5 users, then $15 per user a month
  • Navan Enterprise (best for: Companies above 300 employees): Custom quote
  • Expensify Collect (best for: Small teams on QuickBooks Online or Xero): $5 per member a month
  • Expensify Control, annual (best for: Finance teams that need NetSuite or Sage Intacct links): $18 per member a month, as low as $9 with the Expensify Card

Expensify is the cheaper expense tool for almost any team above 7 people, and Navan is the better buy when travel booking is the bigger job. Expensify Collect lists $5 per member a month, while Navan Business charges $15 per active expense user a month after 5 free users, but books flights and hotels with no platform fee for companies up to 300 employees. At 25 people, that is $1,500 a year on Collect against $3,600 on Navan, at list prices read in October 2026.

Prices come from Navan pricing, Expensify's billing overview, its pricing explainer and its Collect plan announcement, all read on October 19, 2026. Toolradar data: Toolradar, the software directory we run, tracks 87 expense management tools as of October 19, 2026, and the median cheapest paid plan across the 38 that publish a price is $12 a month (expense management ranking). Expensify's Collect rate sits well under that median; Navan's per-user expense rate sits above it.

At a glance

Plan Best for Price (USD, list) Billing basis What you get
Navan Business Companies up to 300 employees that book travel Travel free; expense free for 5 users, then $15 per user a month Per active expense user (anyone who submits a transaction) Travel inventory, unlimited policy and approval workflows, 24/7 travel agents, receipt scanning, card connections, ERP integrations
Navan Enterprise Companies above 300 employees Custom quote Not published Unlimited travelers and expensing users, negotiated corporate rates, back office capabilities, dedicated success manager
Expensify Collect Small teams on QuickBooks Online or Xero $5 per member a month Month to month, every unique member in the workspace SmartScan receipts, approvals, bill pay, Expensify Cards, next-day ACH, Expensify Travel
Expensify Control, annual Finance teams that need NetSuite or Sage Intacct links $18 per member a month, as low as $9 with the Expensify Card 12-month subscription size: every member in it, active or not; active members above it at $36 Everything in Collect plus the ERP connections and governance a controller needs
Expensify Control, pay-per-use Teams that will not commit for a year $36 per active member a month Monthly, no commitment The same Control features, at double the annual rate

The two vendors count people differently, and that one difference drives every number below. Navan bills only the people who submit an expense in a month. Expensify Collect bills every unique member added to the workspace, whether or not they filed anything, Control pay-per-use bills active members, those who create, submit, approve, reimburse or export reports during the month. Control annual bills every member included in the subscription size you choose, regardless of activity, and each active member above that size at the $36 pay-per-use rate.

How much does each cost at 10, 25, 100 and 300 people?

Assume every person files expenses each month, so each one is a billed user on both products. Navan's figure is the expense charge only, because Business travel carries no fee. Expensify's Control column shows the annual subscription at list, then with the full Expensify Card discount. The pricing explainer says the discount grows in proportion to the share of approved USD expenses put on the Expensify Card, up to a maximum of 50%, which takes $18 to $9. Expensify's older billing overview still describes the $9 rate as a threshold at 50% of settled US spend, so the two pages differ; ask Expensify which rule your contract uses.

People filing expenses Navan Business expense (a year) Expensify Collect (a year) Control annual, no card (a year) Control annual, full card discount (a year)
10 $900 $600 $2,160 $1,080
25 $3,600 $1,500 $5,400 $2,700
100 $17,100 $6,000 $21,600 $10,800
300 $53,100 $18,000 $64,800 $32,400

Every row is our arithmetic on the list prices above. At 100 people, Navan bills 95 users, which is $1,425 a month. Collect bills 100 members at $5, which is $500 a month. That gap of $11,100 a year is the price of Navan's travel desk, if you value it that way.

Three things follow. First, Navan only beats Collect on expense for the smallest teams: with 5 users free, Navan is cheaper up to 7 filers and Collect is cheaper from 8. Second, Navan undercuts Control at list price at every size, because Navan's per-user rate is below Control's $18 even before the free seats. Third, a Control customer who earns the full card discount at $9 a member pays less than Navan from 13 filers upward.

Travel is where the comparison flips

Navan Business books flights, hotels, car rentals and trains with no platform fee, and its FAQ says the product is free because travel providers pay Navan a commission. The plan includes unlimited policy and approval workflows, self-serve changes and 24/7 travel support agents. For a company under 300 employees that sends people on the road every month, the travel desk is the product and the expense module is an add-on.

Expensify lists Expensify Travel among the features of the Collect plan. The announcement does not say whether bookings carry a fee, so a controller planning to move travel there should ask that question before signing. What Expensify does not offer is Navan's model, where the travel side is funded by supplier commissions and the policy engine is built around trips first.

The practical test is simple to run on your own books. Add up last year's trips and the hours your office manager or a travel agency spent booking them. If travel is a monthly event for a third of the company, Navan's free booking is worth more than the $11,100 expense premium at 100 people. If people travel twice a year, Collect plus a separate booking habit costs less. The corporate travel management software ranking prices the other travel platforms if neither fits.

Which one fits a controller's close?

Expensify Control is the plan for NetSuite shops. Expensify's NetSuite setup guide states that the Control plan is required for that connection, so a NetSuite company cannot use the Collect rate. The Collect announcement lists QuickBooks Online and Xero sync, plus Gusto and Zenefits, which covers most teams below a full ERP.

Navan's pricing page says Business includes integrations with "most ERPs" and 30 or more HRIS integrations, but it does not name which ERPs. A controller on Sage Intacct or NetSuite should confirm the connector on Navan's integration list before assuming it works. Navan Enterprise adds "comprehensive back office capabilities", a phrase the page does not break down, so ask for the detail in the quote.

Card strategy matters for both. Navan Business connects existing corporate or business credit cards. Expensify Collect includes Expensify Cards with Smart Limits and third-party card feeds, and on Control the card is also the discount lever: the pricing explainer says Control annual subscriptions get up to 50% off based on the share of approved USD expenses on the Expensify Card. A team that already runs spend on another card program gets none of that discount. The best corporate cards ranking compares those programs.

The billing traps on each side

Navan's traps are the 300-employee line and per-user growth. Business covers companies up to 300 employees; beyond that, Navan Enterprise is a custom quote with no list price. Each active expense user also adds to the bill, so a 300-person company where everyone files pays $53,100 a year for expense alone. The upside is that a person who files nothing in a month costs nothing that month.

Expensify's traps are workspace hygiene and the annual size. Collect bills every unique member regardless of activity, so a company that adds its whole payroll pays for the whole payroll. Control annual locks a subscription size you can raise but cannot lower until renewal, and members above that size bill at the $36 pay-per-use rate. The current Collect rate applies to customers whose first workspace was created on or after April 1, 2025, so older accounts should check which terms they sit on. The Expensify pricing breakdown works through the subscription-size math in detail, and the Navan pricing page covers Navan's tiers.

Where each one is weak

Navan is weak for expense-only buyers. A company that reimburses expenses but rarely travels pays three times Expensify Collect's per-person rate for features it does not use. Navan's page also does not publish the billing term behind its per-user rate or name its ERP connectors, which leaves two questions for the sales call. On Toolradar, Navan is listed as an alternative to 14 other tools, the most of any of the 20 corporate travel tools tracked as of October 19, 2026, which tells you buyers mostly shop it as a travel platform.

Expensify is weak for travel-led companies and ERP buyers on a budget. The cheapest plan that connects to NetSuite is annual Control, and halving its price takes the maximum Expensify Card discount, which grows with the share of approved USD expenses on the card. Pay-per-use Control is the most expensive line on this page, which punishes a team that will not commit for a year. The Expensify alternatives list covers the tools a team usually moves to when those rules do not fit.

Who should pick which

  • Pick Navan Business if you have fewer than 300 employees, travel is a monthly expense line, and you want booking, policy and 24/7 travel support without a platform fee. It is also the cheaper expense option at 7 or fewer filers.
  • Pick Expensify Collect if you run QuickBooks Online or Xero, travel is occasional, and you want the lowest per-person expense bill: $1,500 a year for 25 people.
  • Pick Expensify Control if you close on NetSuite or Sage Intacct and can commit to a year, ideally with the Expensify Card carrying most spend.
  • Pick neither if you want cards and expense in one spend platform with no per-user fee. Compare Ramp vs Expensify and the wider spend management platforms. If SAP Concur is on your shortlist, see Navan vs SAP Concur.

How we compared

We read Navan's pricing page and FAQ, Expensify's billing overview, pricing explainer, Collect announcement and NetSuite setup guide on October 19, 2026. Every price on this page comes from those vendor pages or from our arithmetic on them. The cost table assumes every person files expenses each month and uses list prices, not negotiated quotes; we did not test either product, so the verdict rests on published terms. The Toolradar counts are live figures from the Navan and Expensify categories on the same date. Product detail sits in the Navan review and the Expensify review, and the full field is in best expense management software.

FAQ

Is Navan cheaper than Expensify?

For travel, yes: Navan Business books trips with no platform fee for companies up to 300 employees. For expense alone, usually no. Navan charges $15 per active expense user a month after 5 free users, while Expensify Collect charges a third of that per member, so Collect costs less from 8 filers upward. At 100 filers that is $6,000 a year on Collect against $17,100 on Navan.

How much does Expensify cost per user in 2026?

Expensify Collect costs $5 per unique member a month with no annual contract. Control costs $18 per member a month on an annual subscription, $9 with the full Expensify Card discount, and $36 per active member a month on pay-per-use. Prices were read on Expensify's billing pages on October 19, 2026.

Is Navan free?

Navan Business is free for companies up to 300 employees for travel booking, and expense management is free for the first 5 users. After that, each user who submits a transaction is billed at Navan's per-user expense rate. Companies above 300 employees move to Navan Enterprise, which is quote only.

Does Expensify work with NetSuite?

Yes, but only on the Control plan. Expensify's NetSuite setup guide states that Control is required for the integration, so a NetSuite company pays at least $18 per member a month on an annual subscription, or $9 with the full card discount. Collect connects to QuickBooks Online and Xero.

Can I use Navan for travel and Expensify for expenses?

Yes, and for a mid-size team it is often the cheapest split. Navan Business travel carries no fee even if nobody uses Navan expense, and Expensify Collect then handles reimbursements at the Collect rate. The cost is two systems to reconcile, so check that both push to the same ledger accounts before you commit.

Which is better for a company over 300 employees?

Neither publishes a simple answer. Navan moves to an Enterprise quote above 300 employees, and Expensify Control prices by subscription size, which at 300 members lists at $64,800 a year before the card discount. Get the Navan Enterprise quote and compare it against the Control figure with your realistic card share.
