Acumatica vs Business Central 2026: Unlimited Users or $80 a Seat

Acumatica vs Business Central in 2026: Business Central lists $80 and $110 per user a month; Acumatica bundles unlimited users, implementation and support.

Acumatica vs Business Central 2026: Unlimited Users or $80 a Seat

Business Central costs less for a small ERP team; Acumatica costs less once many people need full access. Microsoft lists Business Central Essentials at $80 per user a month and Premium at $110, paid yearly, with $8 Team Members seats. Acumatica does not charge per seat: its fixed-price APEX packages start under $1,495 a month for distribution, with implementation and support bundled. Both vendors' pages were read in October 2026.

The two products answer the same need, a cloud ERP that replaces QuickBooks or Xero with a ledger, inventory, purchasing and projects in one system. They price it in opposite ways. Microsoft sells a seat per person; Acumatica sells applications and capacity, then lets as many people log in as the company wants. For a CFO, the question is which meter grows faster in your business: headcount or transaction volume.

Toolradar data: Toolradar, the software directory we run, evaluated 280 accounting tools for its accounting software ranking as of October 2026. Acumatica's Toolradar listing carries the directory record for that side of this comparison.

How each vendor charges

Business Central is a seat price you can multiply. Essentials covers finance, sales and operations with Microsoft Copilot included. Premium adds service management and manufacturing for $30 more per user a month. Team Members can read data, approve workflows and create or update select records, which is the right seat for budget owners and approvers. The only add-on on the pricing page is Copilot Credits for the Sales Order and Payables agents, sold pay as you go or as prepaid commit units.

Acumatica prices the business, not the people. Its pricing page names three factors: the applications you implement, your expected usage and resource requirements, and the deployment license. Its licensing guide explains the usage part. Under Transaction Tier consumption licensing, the tier is set by your monthly Commercial Transaction Volume, the single highest count among eight transaction types such as sales orders, shipments, AR invoices and AP bills. A company that books 800 AR invoices in its busiest month needs a tier that allows at least 800.

That model has a catch worth reading before signing. Exceeding your tier's monthly volume in any month puts the subscription out of compliance and may force a tier increase mid-contract, according to the guide. The guide also describes a named-user licensing option with caps by edition: Essentials includes 5 named users and stops at 10, Select stops at 30, Prime at 100, and Enterprise has no maximum. Ask which model your quote uses, because "unlimited users" describes one of them.

What 25 ERP users cost, computed

Microsoft's figures are per-user license fees, while Acumatica's APEX price bundles software, implementation and support. The two figures therefore do not buy the same thing, and the comparison below shows Business Central's license against APEX's full package.

Our arithmetic for a 25-person company, on Microsoft's prices paid yearly and Acumatica's printed APEX starting prices:

Setup Business Central license per month Over 12 months Acumatica APEX starting price per month Over 12 months
Distributor: 10 full users, 15 approvers $920 (10 Essentials, 15 Team Members) $11,040 Under $1,495 Under $17,940
Distributor: all 25 as full users $2,000 (25 Essentials) $24,000 Same package Same
Manufacturer: 10 full users, 15 approvers $1,220 (10 Premium, 15 Team Members) $14,640 Under $2,185 Under $26,220
Manufacturer: all 25 as full users $2,750 (25 Premium) $33,000 Same package Same

The seat mix decides the answer, so count people by what they do in the system before you count them by headcount. A buyer who approves purchase orders twice a week is a Team Members seat; an inventory clerk posting receipts all day is a full user. With most staff on $8 Team Members seats, Business Central's license costs less than APEX's starting bundle in both industries, but implementation still has to be budgeted on top. Once everyone needs a full seat, Business Central's license alone passes APEX's starting price at 19 Essentials users ($1,520 a month) for a distributor and at 20 Premium users ($2,200) for a manufacturer.

For Business Central's tiers on their own, read Business Central pricing; for implementation budgets on a quoted ERP, how much NetSuite implementation costs shows how the services line can rival the license.

Where Acumatica earns its price

Acumatica fits a company where many people need to touch the ERP but transaction volume grows slowly. A distributor with warehouse staff, a contractor with project managers in the field, or a manufacturer with shop-floor users would pay Business Central a seat for each of them. Acumatica's APEX packages are built for exactly those three industries, sold by Acumatica's own team, with a project manager during implementation and a customer success manager after go-live.

The Price Cap matters to a CFO planning a five-year budget. Acumatica's licensing guide says renewal prices for SaaS and private cloud subscriptions rise no more than 10% a year, applied to the prices on your latest order form. The cap does not cover services, support or Marketplace products, and first-term discounts do not carry over to renewal, so model year two at list, not at the signing discount.

The weaknesses are transparency and fit, and both show up before the contract rather than after it. Outside the three APEX industries, every Acumatica price is a custom review, and you cannot unbundle APEX's implementation from its software. Our Acumatica review covers the product in depth.

Where Business Central earns its price

Business Central fits a company with a small finance and operations team and many occasional users. A 15-person company with 5 people in the ledger every day and 10 approvers pays $480 a month in licenses by our arithmetic, a figure you can put in a budget before talking to anyone. The 30-day free trial lets the controller run a test close before anyone signs, where Acumatica's pricing page offers a custom pricing review instead. For a finance team that wants to see bank reconciliation, approvals and reporting on its own data, that trial is worth more than any brochure.

Copilot is included in the Essentials price, and Premium adds manufacturing and service management for companies that need them. The cost risks are the ones outside the seat: Copilot Credits for the agents, implementation, and Microsoft's note that the actual price is set at checkout and can vary by country. Our Business Central review goes deeper on the product.

Who should pick which

If you Pick Why, with the number
Have fewer than about 19 full ERP users and many approvers Business Central A published seat price, with $8 approver seats, paid yearly
Need 20+ people with full access in distribution or manufacturing Acumatica APEX's starting bundle includes implementation and every user
Want to try before talking to sales Business Central 30-day free trial
Plan a five-year budget and fear renewal jumps Acumatica Renewals capped at 10% a year on SaaS and private cloud
Run high transaction volume with a small team Business Central Seat pricing does not rise with order count; Acumatica tiers do

If neither fits, NetSuite is the third name on most mid-market shortlists: compare it in NetSuite vs Acumatica and NetSuite vs Business Central, or see NetSuite alternatives and Sage Intacct alternatives. A group with several entities should also read best accounting software for multi-entity businesses, and a company not ready to pay for an ERP should start with free ERP software.

How we compared

Figures come from Microsoft's US Business Central pricing page, Acumatica's pricing page, its three APEX package pages and its Licensing Guide dated October 2025, all read on 21 October 2026. Every cost scenario is our arithmetic on those printed prices; APEX figures are starting prices, so a quote for your package can be higher, and add-on features cost extra. We did not request quotes from either vendor. Business Central figures are license fees only, so add your implementation quote before comparing totals.

FAQ

Is Acumatica or Business Central cheaper in 2026?

It depends on how many people need full access. Business Central charges per full user on Essentials plus $8 per Team Members seat, paid yearly, so a small team with many approvers pays less in licenses. Acumatica's APEX packages start under $1,495 a month for distribution with unlimited users and implementation included, which beats Business Central's license once about 19 people need full Essentials seats.

How much does Business Central cost per user?

Microsoft lists Essentials at $80 per user a month, Premium at $110 and Team Members at $8, all paid yearly, on its US pricing page in October 2026. Copilot is included in Essentials, while the Sales Order and Payables agents need Copilot Credits sold separately.

Does Acumatica really have unlimited users?

Acumatica's pricing page says you pay for functionality, not user seats, and its APEX packages include unlimited users. Its licensing guide also describes a named-user option with caps: Essentials includes 5 named users and stops at 10, Select at 30, Prime at 100 and Enterprise has no maximum. Confirm which model your quote uses.

What is Acumatica APEX?

APEX is a fixed-price package of Acumatica software, implementation and support for small and mid-sized companies in three industries. Starting prices are under $1,495 a month for distribution, under $1,500 for construction and under $2,185 for manufacturing. APEX is SaaS only, and its implementation cannot be bought separately from the software.

Which ERP is better for a manufacturer?

Both cover manufacturing. Business Central puts it in Premium at $110 per user a month, and Acumatica sells APEX for Manufacturing as a bundle with unlimited users. A manufacturer with 20 or more full users pays more for Business Central Premium licenses alone than for APEX's starting package.

Does either ERP have a free trial?

Business Central has a 30-day free trial on Microsoft's site. Acumatica's pricing page offers a custom pricing review with an Acumatica expert instead.
