What Pleo's two US plans cost on monthly and yearly billing, where the card and FX fees land, and when Ramp, Brex, Expensify or Navan is the better buy.

TL;DR

Pleo is worth it in 2026 for a US company with European roots or heavy foreign-currency spend that wants prepaid employee cards and receipt capture in one tool. Build costs $14 per user a month on monthly billing, or $12 on yearly billing, with a 3-user minimum, read on Pleo's US pricing page on October 19, 2026.

Optimise adds budgets, HRIS integrations, cashback for eligible customers and a lower foreign exchange fee, which matters more than the seat price once foreign spend is large. A domestic US team that will put spend on one card should price Ramp's free plan or Brex Essentials first, because both charge nothing per user.

The wider shortlist sits in the expense management guide.

Buy Pleo Build when you need cards, reimbursements, mileage and approval workflows for a team of 3 or more, and a per-user bill is acceptable.

Buy Optimise when budgets, an HRIS sync or a large share of foreign-currency card spend is part of the job. Its lower FX fee can pay for the upgrade on its own, which the cost model below shows.

Skip Pleo when spend is mostly in dollars and the company will run on one corporate card, because the card platforms below give the expense software away.

Toolradar data: the October 2026 expense management ranking on Toolradar, the software directory we run, evaluated 87 tools, and Pleo is listed there as an alternative to 9 of them. The Pleo profile sits next to those for Ramp and Brex.

How we compared: Pleo's US pricing and comparison table, Pleo's about and US product pages, and the Ramp, Brex, Expensify and Navan pricing pages, all read on October 19, 2026. No product was run hands-on; every claim comes from those vendor pages.

What is Pleo?

Pleo is business expense card and spend software from a company founded in 2015 in Copenhagen by Jeppe Rindom and Niccolo Perra. Pleo says more than 40,000 businesses use its cards across 16 European countries, and the US product is sold by Pleo North America, Inc. from Nashville.

That European base shapes the product. The integration list runs from QuickBooks, Xero, NetSuite and Sage Intacct to DATEV, Exact Online and Visma, which is unusual breadth for a US company with a subsidiary in Germany or the Netherlands.

The US card is a Pleo Mastercard Prepaid Card issued by Pathward, N.A., Member FDIC. A prepaid card is not a credit line, so it does not extend you float the way a charge card can.

The US pricing page lists two plans, Build and Optimise. The entry Start plan Pleo sells in Europe does not appear on it, so a US team cannot buy a single-user plan.

For a finance team, Pleo replaces the shared company card and the receipts spreadsheet. Employees get physical or virtual cards, receipts are captured on the phone or forwarded by email, and the expense lands coded in the ledger.

If the real decision is which corporate card to carry, read the corporate cards guide before this one.

How Pleo works

An admin connects the accounting system, sets categories and tags, then issues physical and virtual cards with individual limits, per-purchase limits or temporary limits. Google Pay and Apple Pay are included on both plans.

When an employee pays, the transaction shows in real time and automated receipt reminders chase the missing slip. Fetch pulls receipts out of email, and OCR reads them, so the controller reviews coded lines instead of typing them.

Approval workflows and AI spend guidelines are on both plans, so Build already covers a department sign-off. Optimise adds AI expense reviews, with 100 included per month, which flag spend against policy before a person looks.

Out-of-pocket expenses and mileage run through the same app, and direct reimbursements carry a 0.90% fee on both plans. A company reimbursing $10,000 a month that way pays about $90 a month on top of the seats.

Exports go out through custom accounting exports and auto-categorisation, and Optimise adds an automatic VAT split, a feature built for European books more than a US sales-tax close. External bookkeeper access and an internal controller role are on both plans.

Teams that close on QuickBooks should compare this flow with the picks in the QuickBooks expense guide.

Pleo key features

Prepaid Mastercard cardsEssential
Physical and virtual cards for every user, issued in the US by Pathward under a Mastercard license, with individual, per-purchase and temporary limits on both plans.
Receipt capture and remindersEssential
Automated receipt reminders, OCR and Fetch, which pulls receipts out of email, are on both plans, so missing paperwork is chased without a finance follow-up.
Approvals and spend guidelinesEssential
Approval workflows and AI-powered spend guidelines are on Build, so a policy and a sign-off chain do not force the higher plan.
Budgets and HRIS sync
Budgets, HRIS integrations, spending insights and renewal management are Optimise only, which makes that plan the one for headcount-driven budget owners.
Wide accounting integration list
QuickBooks, Xero, NetSuite, Sage Intacct, Business Central and European systems such as DATEV and Exact Online connect on both plans.
Tiered foreign exchange fees
Card and invoice payments in another currency carry a lower FX fee on Optimise than on Build, so the plan choice is partly a bet on how much you spend abroad.

Pleo pricing

Prices below were read on October 19, 2026 on Pleo's US pricing page, Ramp pricing, Brex pricing, Expensify's pricing help and Navan pricing.

Pleo's page has a billing toggle. It opens on monthly billing, where Build and Optimise show the rates in the table, and the yearly switch lowers each plan by $2 per user a month. Both plans require at least 3 users.

The smallest Build account, 3 users, comes to $42 a month on monthly billing. Ten users on Build is $140 a month billed monthly, or $1,440 a year on yearly billing, against $1,680 for twelve months at the monthly rate.

Ten users on Optimise is $180 a month billed monthly, or $1,920 a year on yearly billing. On yearly billing the gap between the plans is $4 per user a month, so a 10-person team pays $40 a month more for Optimise.

The FX fee decides that upgrade for many buyers. Optimise cuts the card and invoice FX fee by 0.26 points. On $20,000 of foreign-currency card spend a month, that is $350 in FX fees on Build against $298 on Optimise, a $52 saving that already covers the $40 seat gap for ten users.

The break-even for ten users on yearly billing is about $15,400 of foreign-currency spend a month. Below that, Build is cheaper; above it, Optimise is.

Three costs are not printed. Pleo shows reimbursement-only users as "See price per user" without a figure, cashback is marked for eligible customers without a rate, and live chat support is an Optimise feature only.

One line needs a question before you sign. The US comparison table lists ATM withdrawals as free, while the card disclosure in the page footer says the card has no cash access, so confirm cash access with Pleo if employees need it.

Against the card platforms the math is blunt. Ramp's free plan and Brex Essentials charge nothing per user, so twenty users on Pleo Build at the yearly rate, $2,880 a year, buys a tool those two include at no subscription. Brex Premium for twenty users is $240 a month, the same as Pleo Build on yearly billing.

Expensify Collect is $5 per unique member a month, so twenty members is $100 a month, but every invited person counts. Navan Expense is free for the first five users, then the per-user rate in the table, so twenty users is $225 a month. The Ramp pricing breakdown and the Expensify pricing breakdown carry those vendors in more detail.

What could be better

  • A 3-user minimum on both plans rules out a solo founder.
  • Reimbursement-only user pricing and the cashback rate are not printed on the US page.

Who Pleo is for

Pleo fits a US company with 3 to a few hundred cardholders that pays suppliers or travels in euros, pounds or kroner, or that runs a European subsidiary on DATEV, Exact Online or Visma alongside a US ledger.

Build is the honest buy for a team that needs cards, reimbursements, mileage and approvals but not budgets. Optimise is the buy when foreign spend clears the break-even above, or when an HRIS sync must create and remove cardholders automatically.

Skip Pleo for a purely domestic team happy with one card program, because Ramp and Brex include expense software free. Skip it when employees file mostly out-of-pocket receipts, because Expensify bills less per member for that shape.

A team whose main spend is travel should read the Navan review first. A company comparing whole spend platforms rather than cards belongs in the spend management guide.

The bottom line

Pleo earns its seat price when foreign-currency spend or a European entity is part of the job, because its integration list and lower Optimise FX fee are built for that company.

Start on Build with yearly billing if the team is stable, and move to Optimise when foreign card spend passes roughly $1,540 per user a month, the point where the FX saving covers the seat gap.

Choose Ramp or Brex when spend is domestic and one card program can carry expense software at no subscription. Choose Expensify when reimbursements outnumber card swipes, and Navan when travel is the main bill.

The Ramp vs Brex comparison settles the card-platform question, and the expense management guide ranks the wider field.

Frequently asked questions

Is Pleo worth it in 2026?

Yes, for a US company with foreign-currency spend or a European subsidiary that wants prepaid employee cards, receipt capture and approvals in one tool. Its accounting integrations cover QuickBooks, Xero and NetSuite as well as DATEV and Exact Online, and Optimise lowers the FX fee, which rewards a company paying suppliers abroad. It is a weaker buy for a purely domestic team, because Ramp's free plan and Brex Essentials include expense software at no per-user cost.

How much does Pleo cost?

Pleo Build is $14 per user a month on monthly billing and Optimise is $18, and yearly billing takes $2 per user a month off either plan, verified on Pleo's US pricing page in October 2026. Both plans require at least 3 users. Direct reimbursements carry a 0.90% fee, and card and invoice payments in another currency carry an FX fee of 1.75% on Build or 1.49% on Optimise.

Is there a free Pleo plan?

No. Pleo's US pricing page lists only Build and Optimise, both priced per user with a 3-user minimum, and the entry Start plan sold in Europe is not offered there. A US team that needs free expense software should look at Ramp's free plan, Brex Essentials, or Navan, whose Expense product is free for the first five users.

What is the difference between Pleo Build and Optimise?

Optimise adds cashback for eligible customers, budgets, HRIS integrations, AI expense reviews with 100 included per month, renewal management, live chat support and five transfer rules instead of three. It also lowers the card and invoice FX fee by 0.26 points. On yearly billing Optimise costs $4 more per user a month, so a 10-person team breaks even at about $15,400 of foreign-currency spend a month.

How does Pleo compare with Ramp?

Ramp's free plan charges nothing per user and includes unlimited cards plus QuickBooks Online and Xero, while Pleo charges per user from the first seat, with a 3-user minimum. Pleo includes NetSuite and Sage Intacct on Build, where Ramp needs Plus, which adds a per-user rate and a platform fee Ramp does not print. For domestic spend Ramp is usually cheaper; for European entities Pleo's integration list is wider.
